Creating a Data Requirement List

You can create Data Requirement Lists (DRLs).

Required access roles:

  • Baseline: Administrator, Leader
  • App-specific: Contracts Manager, Data Manager


Before you begin: Program and Contract Management must be the active app.

Opening a Contract
  1. To create a DRL, do one of the following:
    • From the top bar, click the Add .
    • Click Data Mgmt > Create DRL.

    Or

    • Click Home .
    • In the navigation pane, click Data Mgmt > DRLs.
    • From the page toolbar, click Create New DRL .

    Or

    • Open a contract.
    • In the navigation pane, click Contract Deliveries.
    • Click the DRL tab.
    • From the Actions menu, click Create New .

    • Open a governing project or a project proposal.
    • In the navigation pane, click Contract Deliveries.
    • Click the DRL tab.
    • From the page Actions menu, click Create New .
  2. Enter the following information:
    Column NameDescription
    TypeClick to select CDRL, NonContractDRL, or SDRL.
    DRL NumberEnter the DRL number.
    ProjectClick to select the project connected to the DRL. The relevant project must be created prior to creating an associated DRL. If the DRL is created from the governing project, the project field will be automatically filled with the read-only governing project. The project must be selected before selecting the CLIN.
    TitleEnter the title for the DRL.
    SubtitleEnter the subtitle for the DRL.
    Submittal RequirementsEnter any submittal requirements.
    Distribution Statement in useSelect the distribution statement from the list.
    DD250 RequiredSelect the DD250 required for the DRL:
    • Source Inspection, Acceptance at Destination (SD)
    • Source Inspection and Acceptance (SS)
    • Unassigned
    • Letter (LT)
    • Inspection and Acceptance at Destination (DD)
    Delivery FormatEnter the delivery format.
    Delivery RequirementsEnter any delivery requirements.
    CommentsEnter any comments about the DRL.
    Customer Approval RequiredSelect Yes or No if customer approval is required.
    Number of CopiesEnter the number of copies.
    CLINClick to select the CLIN in the related project's contract. You must select the related project before selecting the CLIN.
    DID/SDSClick to select the associated DID/SDS.
    Responsible OrganizationClick to select the organization responsible for the DRL.
    CAGE CodeEnter the 5-digit value that should be the CAGE code of the organization preparing the DRL. The Create DRL page displays the CAGE Code entered in the Project if the DRL is created within a Project. If the DRL is created independently, then the CAGE Code is carried forward from the Project selected in the Create DRL page.
    Scheduling details
    Submittal FrequencySelect the value used to determine the number of submittals scheduled.
    First Submission DateClick to select the first submission date. The entered value is used by the submittal schedules action with the submittal frequency to define the due date of the first submittal. The date should be after the selected project start date, not be before contract start date, and not be after contract finish date.
    Note: The First Submission Date must be entered for the DRL to be promoted from the Preliminary state.
    Subsequent Submission DateClick to select the subsequent submission date. The entered value is used by the submittal schedules action with the submittal frequency to define the due date of the second submittal and to align the subsequent/additional submittals to the date.
    Estimated Finish DateBy default, the Estimated Finish Date is set equal to Contract Start Date. Click to select a different estimated finish date. The new date must be between the Contract Start Date and the Contract End Date.
    Note: The Estimated Finish Date must be entered for the DRL to be promoted from the Preliminary state.
    DRL Options
    Enable OffsetClick Yes or No.
    Enable DRL NotificationsClick Yes or No to enable the DRL notification.
    Create Milestone per SubmittalClick Yes or No to create a milestone per submittal.
    Cover Letter Documents RequiredClick Yes or No.
    Note: For a CDRL, if Yes, then the Submittal Letter Number and Submittal Letter Date are required to promote to the Transmitted state. If No, then the Submittal Letter Number and Submittal Letter Date fields are optional. If Yes, then the Customer Reply Letter Number and Customer Disposition Date are required to promoted to the Dispositioned state. If No, then the Customer Reply Letter Number and Customer Disposition Date fields are optional. If the Complete Disposition and Promote check box is selected in the Disposition Transmittal action, these attributes are optional.
    Note: For an SDRL, if Yes, then the Submittal Letter Number and Submittal Letter Date are required to promote to the Received state. If No, then the Submittal Letter Number and Submittal Letter Date fields are optional. If Yes, then the Customer Reply Letter Number and Schedule Date Disposition To DM are required to promoted to the Reviewed state. If No, then the Customer Reply Letter Number and Schedule Date Disposition To DM fields are optional. If the Complete Disposition and Promote check box is selected in the Reviewers Disposition action, these attributes are optional.
  3. Click OK.
