Revising Artwork Elements

You can revise artwork elements outside of an artwork package. You can have multiple revisions of an artwork element and view all of them in the Revisions page.

This task shows you how to:

Revise Copy Element

You can revise copy elements. When you revise a master copy element, a revision of the master copy is created. Copies of the local copy elements associated with the previous revision of the master copy element are created with new names and attached to the new revision of the master copy element.

  • Baseline: Author, Leader
  • App-specific: Product Manager, Artwork Project Manager, Master Copy Author, Local Copy Author

Before you begin: Open the Local Copy Elements of a Master Copy page.
  1. In the page toolbar, click Revise.
    The Revise the Artwork Element page appears.
    Important: The Revise option is available in the page toolbar if at least one artwork element is in the Release state.
  2. Revise the following fields:

    Field Description
    New Content Type the new content.
    Author Select a Person or a Route Template or both as author.
    Approver Select Assign Author as Approver check box to select author as the approver, else select a Person or a Route Template or both as approver.

  3. Click Done.

  • The master copy element is revised.
  • Copies of the local copy elements associated with the previous revision of the master copy element are created with new names and attached to the new revision of the master copy element.
  • The Copy Text column for local copy elements is left blank. Copy Text column for master copy element displays the new content entered on the Revise the Artwork Element page.
  • The new revision of the master copy element, and the newly created copies of the local copy elements are associated with the POAs and the copy lists with which the older revision of the master copy element was associated, if those POAs are in the Draft state and if the copy lists are in any state except Obsolete.
  • You can revise a local copy element that is in the Release state. The new revision of the local copy element is associated with the POAs and copy lists with which the previous revision of the local copy element was associated, if those POAs are in the Draft state and if the copy lists are in any state except Obsolete.
  • Authoring of revised artwork element:
    • If the previous revision had an active authoring route from outside the artwork package, the authoring route is deleted and a new route with the new author information is created.
    • If the previous revision had no authoring route, a new authoring route is not created and the new revision is directly sent for approval. A Product Manager, Artwork Product Manager, or any user with the access to promote the artwork element can promote the artwork element to the Review state. When the artwork element is promoted to the Review state, by default, an approval task is created.
  • Approval of Revised Artwork Element:
    • If the previous revision had an active authoring route from outside the artwork package and if the approval assignment is changed, the existing route is deleted. A new route is created with information of the new assignee. The approval route starts when the authoring route is complete. If the approver rejects the content, a new authoring route is created and is sent for reauthoring the content.
    • If the previous revision had no authoring route, a new authoring route is not created for reauthoring the content. A notification is sent to the user who revised the artwork element. The user must promote the artwork element to the Review state. An approval route is created and sent for approval.
      Note: Next authoring task for this new revision is created only when it is released and used in a new POA.

Revise Graphic Element

You can revise a graphic element.

  • Baseline: Author, Leader
  • App-specific: Product Manager, Artwork Project Manager, Master Copy Author

Before you begin: Open the Graphic Element Properties page.
  1. In the page toolbar, click Revise.
    The Revise the Artwork Element page appears.
    Important: The Revise command is available in the page toolbar if graphic element is in the Release state.
  2. Revise the following fields:

    Field Description
    Revise Preference Select if you want to revise the graphic element with the files associated to it.
    Image/File Click Browse to search and select an image.
    Author Select a Person or a Route Template or both as author.
    Approver Select Assign Author as Approver check box to select author as the approver, else select a Person or a Route Template or both as approver.

  3. Click Done.
    The Graphic Element Properties page appears and the new revisions of the artwork elements in the Preliminary state are listed.

  • The graphic element is revised.
  • Authoring a revised graphic element:
    • If the previous revision had an active authoring route from outside the artwork package, the route is deleted and a new route with the new author information is created.
    • If the previous revision had no authoring route, a new authoring route is not created and the new revision is directly sent for approval. A Product Manager, Artwork Product Manager, or any user with access to promote the graphic element can promote the graphic element to the Review state. When the graphic element is promoted to the Review state, an approval task is created by default.
