Creating an Authoring Task for the Master Copy Author

You can create and assign an authoring task to a master copy author for an artwork element. A notification email is sent to the master copy author for the assigned task.

This task shows you how to:


Before you begin:
  • List the artwork packages available in the system. For more information, see My Artwork Packages Page.
  • Ensure that an artwork package that is in the Create state and is available.
  • Ensure that business units and route templates are created, and approvers are created under the business units.

Assign an Author and Approver to an Artwork Element

You can promote an artwork package to the Assign state, and assign an author and approver to the artwork elements (master copy and master graphic element). You can also assign authors and approvers to the artwork elements in Create state.

Important: Ensure that the authors and approvers are assigned to the artwork elements, and the graphic designers and artwork approvers are assigned to the POAs before promoting an artwork package to the Work In Process state.

  1. Click the Name of an artwork package.
  2. In the page toolbar, click Lifecycle and Approvals.
    The Lifecycle/Review PowerView page appears.
  3. In the Lifecycle and Approval tab toolbar, click Promote to promote the artwork package to the Assign state.
  4. In the page toolbar, select Assign/Task Management > Master Copy.
    The Assign/Task Management page appears.
    Note: You can view the lifecycle state of the artwork element. You can assign authors and approvers to both master copy and master graphic elements from this page.
  5. Select the Artwork Element Type check box.
  6. In the page toolbar, click Assign Authors & Approvers.
    The Assign Author and Approver page appears.
  7. Click the following to assign an author and approver.
    1. In the Author area, click next to the Person to select and assign the task to a Master Copy Author.

      OR

      In the Author area, click next to the Route Template to select and assign a route template for the master copy authoring task.

    2. In the Approver area, click next to the Person to select and assign the task to a Master Copy Approver.

      OR

      In the Approver area, click next to the Route Template to select and assign a route template for the master copy approval task.

  8. Click Done.

The author and approver are assigned to the artwork element.

Note: You have to assign author and approver to all the artwork elements listed in the Structure View page. You can assign the author as the approver. If you assign the author as approver, the Assign Author as Approver check box is available.

Assign an Author and Approver to a Local Copy

You can assign an author and approver to a local copy element.

Before you begin: Assign an author and approver to the local copy elements. For more information, see Assign an Author and Approver to an Artwork Element.
  1. In the page toolbar, select Assign/Task Management > Local Copy.
    The Assign/Task Management page appears.
    Note: You can view the lifecycle state of the local copy element.
  2. From the Language list, select the local language. By default, the language defined as the Default Language is selected.
    On premises only: Your Business Administrator can configure the default language.
  3. Select the Artwork Element Type check box of a local copy.
  4. In the page toolbar, click Assign Authors & Approvers.
    The Assign Author and Approver page appears.
  5. Click the following to assign an author and approver.
    1. In the Author area, click next to the Person to select and assign the task to a local copy author.

      OR

      In the Author area, click next to the Route Template to select and assign a route template for the local copy authoring task.

    2. In the Approver area, click next to the Person to select and assign the task to a local copy approver.

      OR

      In the Approver area, click next to the Route Template to select and assign a route template for the local copy approval task.

  6. Click Done.

The author and approver are assigned to a local copy element.

Note: You have to assign author and approver to all the local copy elements of the languages listed in the Language list. If the inline translation is activated, you can assign an author and an approver to any one of the local languages. The same author and approver are assigned to all the local languages associated with the corresponding copy element.

Assign a Designer and Approver to a POA

You can assign a designer and approver to a POA.

Before you begin: Assign an author and approver to a local copy element. For more information, see Assign an Author and Approver to a Local Copy.
  1. In the page toolbar, click POA.
    The Assign/Task Management page appears.
  2. Select the POA check box.
  3. In the page toolbar, click Assign Designers & Approvers.
    The Assign Graphic Designer & Approver page appears.
  4. Click the following to assign a graphic designer and approver.
    1. In the Graphic Designer area, click to select and assign a graphic designer, the responsibility of designing the graphic for the POA.
    2. In the Approver area, click next to the Person to select and assign an artwork approver, the task of approving the POA graphic.

      OR

      In the Approver area, click next to the Route Template to select and assign a route template for approving the POA graphic.

  5. Click Done.

The designer and approver are assigned to a POA.

Promote the Artwork Package to the Work In Process State

You can promote the artwork package to the Work In Process state and create an authoring task for the master copy author.

Before you begin: Assign a designer and approver to a POA. For more information, see Assign a Designer and Approver to a POA.
  1. In the page toolbar, click Lifecycle and Approvals.
    The Lifecycle/Review PowerView page appears.
  2. In the Lifecycle and Approval tab toolbar, click Promote to promote the artwork package to the Work In Process state.

A master copy content authoring task is created. A notification email for the master copy content authoring is sent to the master copy author through the IconMail and Outlook, if configured.
