Managing Experiment Users

If you are an Owner of an experiment, you can add users and user groups and manage their access roles and rights to the content and lifecycle transitions of the experiment.

You can assign access roles to individual users or to user groups, defined in the User Groups app. For more information, see User Groups.

You can share your experiment with any Scientific Notebook users, even if they do not have access to the experiment's project.

This task shows you how to:

Add Users or User Groups

If you are an Owner of an experiment, you can add users or user groups and define their access roles and rights.

  1. From the Properties pane, select Share Experiment .
  2. In the top bar of the Share Experiment pane, click and enter part of the user or user group's name in the text field.
    A list of matching users and user groups displays below the text field.
  3. Select the user or user group you want to add to the experiment.
  4. In the Choose the Access Role dialog box, choose the access role and rights for the new user or user group.
    OptionDescription
    Reader The new user or user group can read the experiment.
    Collaborator The new user or user group can read and modify the experiment.
    Owner The new user or user group can configure all aspects of the experiment, including the permissions of other users to access the experiment. They can also send Draft experiments for approval and return experiments from the Pending Approval state to Draft.
    With Reviewer rights In addition to the new user or user group's primary access role, they can also control of some lifecycle transitions.
    • Reader and Collaborator users can transition the experiment through review lifecycles states if they have not previously edited the experiment.
    • Owner users can transition the experiment between any lifecycle states.
  5. Click OK.

The list of shared users for the experiment updates with the newly added user or user group and their card reports their access role and rights.

Manage User Roles

If you are an Owner of an experiment, you can change the access role and rights of existing users.

For a user card in the Share Experiment pane, click and select the change you want to make:
OptionDescription
Change role to Owner Changes a user with the Collaborator or Reader role to have the Owner role.
Change role to Collaborator Changes a user with the Owner or Reader role to have the Collaborator role.
Change role to Reader Changes a user with the Owner or Collaborator role to have the Reader role.
Add Reviewer rights Adds the additional Reviewer rights to a user with any primary access role.
Remove Reviewer rights Removes the additional Reviewer rights from a user with any primary access role.

Tip: You can use 6WTags to filter the list of users and user groups.
Important: You cannot change the roles of a user selected as an approver of an experiment when its maturity state is Pending Approval or later.

View User Group Details

If you are an Owner of an experiment, you can find out which users are members of the user groups for an experiment.

For a user group card in the Share Experiment dialog box, click and select View user group details.

Tip: You can use 6WTags to filter the list of users and user groups.

The User Groups app opens with the selected group displayed.

Delete Users or User Groups

If you are an Owner of an experiment, you can delete users or user groups from an experiment.

For a user or user group card in the Share Experiment dialog box, click and select Remove Permissions.

The list of shared users for the experiment updates with the removed user or user group no longer shown.
