Defining the Tasks in a Route

If you created a route by only entering basic information or you gave additional users access to the route, you need to define tasks for the route. You can also use this procedure if you want to edit or add tasks to the route. The route owner can edit any task in a route as long as the task has not been completed yet. The owner can also add new tasks as long as the route is not complete.

Required access roles: You must be the route creator.

You can also perform this procedure for a route template.


Before you begin: List the tasks for the route. See Tasks Page for a Route. You cannot create tasks in the graphics tasks page.
  1. From the page Actions menu or toolbar, click Edit All .

    The Add/Edit Tasks page opens, listing all tasks that have been added to the route. Completed and active tasks are not editable.

    If this route is based on a route template, the tasks from the template have a (t) next to the task name. Depending on how the template is defined, you may not be able to make many changes to the task list or you may have full editing ability. See Routes Based on Route Templates.

  2. Edit existing tasks as if required.

    If these conditions exist, you cannot change the Assignee from an access role to a person. However, you can reassign the task to a different person who has the defined access role.

    • A task was manually defined for a route (not created from a template) and assigned to an access role
    • The task has been created. That is, the task can be viewed by the recipient (if defined), or anyone with the access role in the list of tasks to be accepted.

    If a task was added to the route based on a route template, you cannot change the Assignee from an access role to a person.

    If the task is for a route template:

    • You cannot allow the task assignee to choose the due date so you must specify a date or the number of days after the route start or task creation.
    • If task assignees were not saved with the template, you cannot assign route members to tasks. People who use the template to create routes will have to add members and assign tasks before starting the route.
    • If task assignees were saved with the template, you can change the assignee to any other person in the access list. You can also unassign the task by choosing the empty row at the top of the tasks's Assignee list.
    • If a task was added because a new person was given access to the route, enter a Name for that task.

  3. To add a new task, click Add Task from the Actions menu or toolbar. Define the task as described in Define Tasks.
  4. Click Next. The Action Required page opens. See Set Action Required.
  5. Click Done.
