About Bookmarks

The accesses you set for a Bookmark defines the minimum accesses for all of its Sub Bookmark and document content. Members can be given higher access for the individual Sub Bookmarks and the documents but they cannot be given lower accesses. Accesses for a Bookmark define the exact accesses for all the nondocument content. These accesses cannot be changed.

This list describes the specific actions allowed for each access level that can be assigned to a person. If you move a Sub Bookmark that has Inherit Access set to Yes, the access on that Bookmark is governed by the new parent's access. Any accesses for that Sub Bookmark that had been inherited from its original parent Bookmark are revoked.

Access Level	Description
Read	Can view Bookmark properties, participate in discussions for it, view accesses for the Bookmark, and subscribe to be notified for events that occur for the Bookmark. The person can be added to any route whose scope is the Bookmark. The person can view all Bookmark and document content for the Sub Bookmarks.
Read/Write	Can perform the tasks described for Read access. Write access applies only to editing content and does not allow the person to perform any additional actions for the Bookmark. A person with Read/Write access to the Bookmark can edit all of its content.
Add	Can perform all Read and Write actions and can also add content to the Bookmark.
Remove	Can perform all Read and Write actions and can also remove items from the Bookmark.
Add Remove	Can perform all Add and Remove actions.

To add a Document to a Bookmark or Sub Bookmark, you must be connected to the collaborative space that owns the content and have read access to the Document. Read access allows you to add (connect) the Document to other objects Bookmarks). If the document is in the Obsolete state, it cannot be added to a Bookmark or connected to any other object.

If the Bookmark is in a Bookmark Root, the Document Release policy to the Bookmark determines if you can add a Document depending on your access role, the current state of the Document, and whether or not you own the Document.

For each combination of access role and state, this table indicates if you can add the Document to the Bookmark, but only if you own it (Yes/Own), or if you can add the Document to the Bookmark whether or not you own it (Yes), or if you cannot add the Document to the Bookmark (No).

PLM types, such as Physical Products, Physical Representations, and so on, can be added to a Bookmark by someone who has access to those types. In addition, composer and composee types, such as a Publication (composee) connected to a Physical product (composer) can be added to a Bookmark.

For PLM and composition types in a Bookmark, the Add Remove access for people listed on the Sharing page have these accesses to the Bookmark content, even if their credentials (role, organization, and collaborative space) would not normally give them access:

• Search
• Query
• Modify
• Content reference and usage
• Add, delete, and edit composed content (you cannot create non-shared representations)

When removing content from a Bookmark or Sub Bookmark, you can choose between three options:

• Remove all versions from the Bookmark. For example, if the current version is 3, no version of the document will remain in the Bookmark.
• Remove all versions from the Bookmark and delete all versions from the database. For example, if the current version is 3, no version will remain in the Bookmark and versions 1, 2, and 3 are deleted from the database.
• Delete only the most recent version and connect any discussions and subscriptions to the previous version. For example, if the current version is 3, it is deleted from the database but version 2 is still in the Bookmark and all discussions and subscriptions are associated with version 2. This option is especially useful if you check in an updated version by accident.

You can only delete an item if you have Remove access for it and the item is not connected to another item, as listed in this table.
