Reference Documents

The Reference Documents page lists documents that support the selected quality system document.

Important: This app stores personal data in some settings. To follow good personal data management practices, Business Administrators might need to edit these settings to remove personal data, such as names, email addresses, and phone numbers.

To access this page:

  1. Open a quality system document. For more information, see Opening a Quality System Document.
  2. In the navigation pane, click Content.
  3. Select the Reference Documents page tab.

Columns

Column NameDescription
NameThe name of the reference document object.

Expand the reference document to see the associated documents and their hierarchical relationships:

  • The icon indicates that the document is a child of the document listed above it.
  • The icon indicates that the document is the parent of the document listed above it. Other children of this parent document are not listed beneath it.

TitleThe title of the reference document.
TypeThe object type.
StateLifecycle current state of the reference document.
Category

Displays if contextual categories are enabled for reference documents.

The category for the reference document.
Note: Click Group By or Filter to group or filter reference documents based on their category.
RevRevision number of the reference document.
A in this column indicates that a higher revision of this reference document exists.
Number of files locked/number of files checked into this quality system document. For example, 2/4 indicates 2 files of the 4 files checked into this object are locked. Pause over the number to view the name of the user who has locked the file. Click to view the list of files.
ActionsThe actions you can perform on the listed reference documents.

Icon Name Action

Subscribe

View and select subscriptions for a document. See Collaboration and Approvals User's Guide: Subscription Management.

Download

Download the file to your local computer without locking it on the server. Navigate to the folder or directory you want to contain the file. Multiple files are downloaded in a single zip file.

Check Out and Lock

Check out the file to your local computer and lock it from other users. Navigate to the folder or directory you want to contain the file.

Update Files

Check in and unlock the file. See Collaboration and Approvals User's Guide: Uploading Files.

Check In

Check in and upload a new file. See Collaboration and Approvals User's Guide: Uploading Files.

Lock

Lock the file without checking it out.

Unlock

Unlock the file without checking in a new version.

View

View the document in an app that supports the file type.

OwnerPerson responsible for the reference document. Click to view the properties for that person.
Change InformationChange order and change actions that controls the release of this reference document. Click to open the item.

Pause over the name to view the description for the change order.

Responsible OrganizationThe organization responsible for the reference document.
ModifiedThe date of the most recent modification to the reference document.
DescriptionDescription entered for the reference document.

Create New Creates a new reference document.
Note: You can create a reference document and add it to a controlled document that is in the In Draft and In Work state.
Creating a Quality System Document
Add Existing Allows you to search for and select a reference document.
Note: You can add existing reference documents to a controlled document that is in the In Draft or In Work state. If enoDocumentControl.ReferenceDocuments.Validation=true, then a warning displays if the reference document is at a state below the validated state. You can cancel the operation or continue and attach all the reference documents, even those that are not in the correct validation state.
About Searches
Remove Removes the selected reference document. Click OK to confirm.
Note: You can remove reference documents from a controlled document that is in the In Draft and In Work state.

Enable Edit

Displays if the contextual categories for reference documents is enabled.

Edits the reference document category.
Note: Your Business Administrator can configure contextual categories for reference documents.
