List of Routes

Route Management lists routes you have access to, and lets you create new routes.

To add content to a route, you can drag it from another widget, such as 3DSearch or 3DDrive, and drop it onto the required route.

On the cloud only: The tile and grid views show a maximum of 200 routes.
On premises only: As installed, the tile and grid views show a maximum of 200 routes. Your Business Administrator can increase or decrease this value.

If you have more than the maximum number of routes, you can filter the list to locate routes you want to work with.

Grid View

If the tile view displays, click Tile View > Grid View . You can right-click anywhere in the row to open the context menu for a route. For more information, see Context Menu.

Columns Description
Name An auto-generated name of the route.
Maturity State The current maturity state of the route.

State Description
Draft The route has been created but not started.
To Do The route has been started. You can open the route and look at the task graph to see the progress of the route tasks.
Completed All tasks in the route have been completed.

Route Base Purpose The route base purpose that determines the kind of tasks included in the route.

Purpose Description
Standard The route can include tasks that require the assignee's approval or comment or tasks intended only for notification or information.
Approval The route includes only tasks that require the assignee's approval.
Review The route includes only tasks that require the assignee's comment.

Activity State The activity state of the route:

Activity State Description
Not Started You created the route but did not start it, so defined tasks have not been created yet. The route creator and route Assignees can access Not Started routes.
Started The route has been started but not all members have completed their tasks.
Stopped A route member has rejected the route (chosen Reject for the task approval status). The route owner can also stop a route.
Finished All members have completed their tasks for the route.

Description The entered description of the route.
Assignees The pictures or initials of people or user groups that have been assigned tasks in the route. Hover over the cell to view the full names of the people or user groups.
Owner The person who owns the route.

Tile View

If the grid view displays, click Grid View > Tile View . Each tile includes these details:

Detail Description
Route Name The name of the route. If the owner chose AutoName when creating the route, the name contains a prefix and a number.
Route Base Purpose Determines the kind of tasks included in the route.

Purpose Description
Standard The route can include tasks that require the assignee's approval or comment or tasks intended only for notification or information.
Approval The route includes only tasks that require the assignee's approval.
Review The route includes only tasks that require the assignee's comment.

Maturity State The current maturity state of the route.

Task Assignees The picturee or initials of the people assigned tasks in the route.

Actions

Action Description For More Information
Home Returns to the home page listing of routes. Only shows if a route is open.
Filter by Lets you filter the list based on these values:
  • Owned by me
  • Assigned to me
  • Draft
  • To do
  • Completed

Selected filters show a blue bar next to the filter name.

"Owned by me" means that you are the route owner; "Assigned to me" means that a task in the route is assigned to you.

Create Route Creates a new route. Creating Routes
Grid View /Tile View Switches between tile and grid view. The icon shows the current view. To change the view, click the displayed icon and select the required view.
Delete Deletes the selected route. You can Ctrl click routes to select multiple routes. You must confirm that you want to delete the route.

Context Menu

To view the context menu, perform one of the following actions:

  • Grid view: right-click in the row for the route
  • Tile view: click in the tile for the route

You only see the actions available based on the current maturity state of the route.

Action Description
Open Opens the route showing the Tasks, Content, and Members tabs. You can also double-click in any row or tile to open the route.
Start Only shows for a route that has not been started, or that was stopped. Starts the route by creating and assigning the first order tasks.
Stop For a route in process, stops it. Stopping a route has no effect on completed tasks, but assigned tasks cannot be completed and no more tasks are activated until the route is resumed.
Restart Restarts a route from the first task if a Task was rejected or the route was stopped. Only shows for routes that have a status of Stopped.

Routes can contain concurrent tasks defined as Any (meaning only one of the tasks needs to be completed). If any task at that level was completed, the other tasks at that level were deleted when the route was stopped. When the route restarts, only the completed task at that level is recreated.

Resume Resumes a route that had been stopped by the route owner. The route resumes from the task where it was stopped. Only shows for routes that have a status of Stopped.
Delete Deletes the route. Click Delete to confirm. Route creators can delete routes regardless of the current state of the route.

Deleting a route removes all information about the route, including all of its tasks, and stops any further tasks from being created.

Only a user with the Owner or Administrator access roles can delete routes created for an object.

On premises only: Your Administrator can configure routes used for Approvals so that they cannot be deleted after they are started, even when the route is complete. This rule does not apply to routes with the route purpose of Standard or Review.
