This page discusses:

Graph View

If the grid view displays, click Grid View > Graph View .

The route starts with a gray flag and ends with the checkered flag, with all the required tasks in between.

The graph shows all tasks with the same order sequence in a column, and includes a small box with Any or All to indicate if all of the tasks at that order level must be completed, or only one of the tasks must be completed prior to moving to the next order task.

Each box represents a task and includes these details:

Task Detail Description
Task Title The name of the task.
Task Aproval Status For active tasks, shows the approval status, such as Awaiting Approval or Awaiting Comment.

For completed tasks, shows the action taken, such as Notification Sent or Approved.

For tasks with Ask Route Owner for task assignment defined in the route template, shows Awaiting Assignment until you select an assignee.

For pending tasks, this field is blank.

Due Date Assigned due date for the task.

(in red color) is shown if the task is overdue.

(in orange color) is shown if the task is soon to be overdue.

Assignee Initials of the user responsible for completing the task. You might see a use group name for future tasks or for tasks in the current sequence that have not yet been accepted. Once a member of the user group accepts the task, the graph shows the person's initials. Hover over the initials to view the full name of the person.
Maturity State The current maturity state of the task:

Maurity State Description
Draft The route has not started or the previous task in the route has not been completed so the assignee is not assigned to work on it yet. If the route has not started, all tasks are in Draft.
Note: If you look at the Task Properties in another app, this state shows as Pending.
To Do The task is created for an assignee who can work on it.
In Approval Only tasks with a Needs Owner Review icon go through the In Approval state. The state changes from To Do to In Approval when the assignee completes the task. If the route owner promotes the task, indicating approval, the state changes to Completed. If the owner demotes the task, indicating rejection, the state returns to To Do so the assignee can redo the task.
Completed When the assignee indicates a task is complete, the state changes to Completed and the next task in the route is created (provided there are no other tasks that must be completed at his route level).

Route Template Shows if the task was added from the route template from which the route was created.
Opens the context menu for the task. You only see the context menu if you own the route or the task is assigned to you. For more information, see Context Menu.

Grid View

If the graph view displays, click Graph View > Grid View .

Column Description
Order The order level within the route.

Revision The revision level. A value indicates the route has been stopped and resumed or restarted.
Expected Action

Action Description
Approve Task assignee must enter a Comment and choose an approval status: Approved, Rejected, or Abstained. If the Task assignee chooses Approved or Abstained and then completes the Task, the Route continues as usual. If the Task assignee chooses Rejected and then completes the Task, the Route is stopped and the Route creator is notified. If this happens, the system does not create the next Task in the Route until the Route creator resumes the Route.
Comment The Task assignee must enter a comment before completing the Task.
Notify Only The Task is automatically completed without the assignee taking any actions.

Approval Status For active tasks, shows the approval status, such as Awaiting Approval or Awaiting Comment.

For completed tasks, shows the action taken, such as Notification Sent or Approved.

For tasks with Ask Route Owner for task assignment defined in the route template, shows Awaiting Assignment until you select an assignee.

For pending tasks, this field is blank.

Assignee The person or user group assigned to complete the task.
Note: When editing a task, Route Management does not support assigning the task to "None."
Due Date The expected completion date of the task.

(in red color) is shown if the task is overdue.

(in orange color) is shown if the task is soon to be overdue.

Comments Any comments entered by the task assignee when completing the task. To complete the task, the assignee must fill in the comment field except for tasks with Notify Only actions.
Generated from a template Shows Yes if the task was generated from the route template from which the route was created. Otherwise, shows No.

Actions

Action Description
Select Users Lets you choose a user for tasks assigned to a user group and require you to select a specific user from the group. You only see this action if the route is based on a route template that enabled the Select User(s) from User Group option.

Click Select Users . The Select Users dialog box lists all the tasks assigned to user groups that require you to select a specific user. For each task, select the required person from the list.

If you select more than one person, the dialog box adds a All must approve check box. Clear the check box if you only need one of the selected people to complete the task. Select the check box if you want all of the added users to complete the task.

When all tasks have been assigned, you can click Start to start the route. If you do not want to start the route, click Assign to save the assignments and return to the tasks.

If you selected more than one person from the user group, the app adds a task for each person at that order level:

  • If you selected the All must approve check box, the app adds the All action for those tasks in the task graph.
  • If you cleared the check box, the app adds the Any action for those tasks in the task graph.
  • If the order level also includes tasks assigned to individuals, the Any or All action for other tasks is based on the action for the order level defined in the template.
    • All: If the All must approve check box is selected, all selected users from the user group and all other tasks for the order level must be completed.
    • Any: If the All must approve check box is selected, all selected users from the user group must complete their tasks. Other tasks at the level do not need to be completed, and completing another task does not advance to the next order level.
    • Any: If the All must approve check box is not selected, any single person, selected from the user group or specified in another task, who completes a task at the order level advances the route to the next order level.

Edit Lets you edit existing tasks, delete tasks, or add additional tasks. When the shows in blue, you can edit tasks. You can only edit tasks in the graph view.

When editing or adding tasks, follow the same guidelines as when creating the route. For more information, see Creating Tasks.

You must click Save after editing and adding tasks.

For tasks in routes created from route templates with Route Task Edit type as Modify/Delete Task List, the route creator can modify the title, assignee, and order for all tasks.

For tasks in routes created from route templates with Route Task Edit type as Modify Task List, the route creator cannot modify the title, but can modify the assignee and order for all tasks.

For tasks in routes created from route templates with Route Task Edit type as Extend Task List or Maintain Exact Task List, the route creator cannot modify the title, assignees, or task order.
