Creating Collaborative Spaces

Administrator users can create collaborative spaces. You can create a hierarchy of collaborative spaces.


Before you begin: Disciplines and families must already be created.
  1. In the Manage P&O and Content console, click Collaborative Space .
  2. Click Create.
  3. Enter these details:

    Field Name Description
    Collaborative Space Title The title for the new collaborative space. The title is used when displaying the collaborative space in lists and searches, and as part of the security context (user credentials).
    Collaborative Space Name The name for the new collaborative space.

    The name cannot exceed 32 characters.

    Collaborative Space Description A more detailed description of the purpose of the collaborative space

  4. Choose a collaborative space or family to base this one on, or leave both options set to None.

    The credentials that own the content and the credentials assigned to a person determines if that person can access that content. Credentials include the collaborative space, but does not include any defined family for a collaborative space. Depending on the accesses defined for the content (policies and rules, for example), the collaborative space hierarchy (determined if you select a collaborative space parent) can be used to grant access to a person.

    If you define custom security levels (and update the policies, rules, and commands to support those security levels), you can define a hierarchy of families for access control. This option requires extensive customization.

    In general, if you use the delivered security access and controls, select a Collaborative Space Parent. If you developed your own security controls using the security level option, select a Family. If you want to restrict access to users within the collaborative space (disabling all access hierarchies), select None for both options.

    Option Results
    Collaborative Space Parent The new collaborative space inherits behavior from the selected parent. Use this option to create a hierarchy of collaborative spaces. For many functions, users have access to their collaborative space, and any parent collaborative spaces in the hierarchy.
    Family Determines the kind of content of the collaborative space.

    For example, this information is used in 3DSearch predefined query to search content from a Standard or Design collaborative space.

    Engineering standard content cannot use any content that belongs to a Design collaborative space.

  5. Choose a Discipline, or keep None. You can Ctrl-click to select multiple disciplines.

    Disciplines define the resource sets (objects such as catalogs, business rules, and files) available to the collaborative space.

  6. Click Create
    The app confirms that the organization has been created.
  7. Click X to close the confirmation message.

After creating a collaborative space, you should create the credentials for that space.
