Record Retention Schedule

The record retention schedule lists all retention record and retention hold objects.

To access this page:

  1. Click the Compass and select IP Classification.
  2. In the Top Bar, select > Record Retention Schedule.

Columns

Column Name Description
Name Name of the record. To view the list of retained documents in the retention record or retention hold, click its Name.
Type Type of the record, either Retention Record or Retention Hold.
Description Details about the retention record or retention hold.
Status The current state of the object in its lifecycle.
Retention Period (Yrs) The retention period (how long the documents will be retained prior to purging).

Retained documents inherit this period; however, you can edit this value on a per-document basis so that documents within the same retention record could have different purge dates.

Retention Period Initiation Date The date when the Retention Record moves from the Active to the Scheduled state. This value, plus the retention period, determines the earliest date that the retained documents can be purged.
Comments The comments entered when the retention record or retention hold was created or edited.
Owner The owner of the record. The owner must be assigned to the Record Retention Manager role.
Opens the Retained Documents page for the record in a new window.

Filters

Filter Option Description
All All available record retentions or record holds.
Created The retention record or retention hold exists, but has not been approved for use.
Active/Scheduled Active records have been approved, but have not been scheduled for purging; Scheduled records show the date that the retained documents will be purged.
Purged All documents within the retention record have been purged.
