Editing the Retention Period

You can edit the retention period for documents if the retention record that contains them is in the Active state.

If the retention record has been promoted to Scheduled, you cannot change the retention period.

Required access roles:

  • Baseline: Owner, Leader
  • App-specific: Retention Manager


Before you begin:
  1. View the list of retained documents for a retention record. See Retained Documents List.
  2. Select a document.
  1. Click Enable Edit from the page Actions menu or toolbar.
  2. To update multiple documents with the same retention period or comment:
    1. If you do not want to edit all of the documents, check the ones that you want to edit.
    2. Select the Column name from the list.

      • Retention Period (Yrs). Change the listed value (in years) as required.
      • Comments. Enter a comment to explain why the period was changed.

    3. Enter the new value.
    4. Click Apply to Selected or Apply to All.
  3. To edit an individual document, enter a new Retention Period and enter Comments in the fields on the document row.
  4. Click Done.
