Process Documents

The Process Documents tab lists quality system documents and other change controlled documents. With the Quality Manager role, you can also open a part and view the process documents associated with that part.

To access the Process Documents list:

  1. Do one of:
    • Click Social and Collaborative Apps and select Device Master Record Management. Under Device Master Record, select the Process Documents category.
    • (With the Quality Manager role only), open a part and select the Device Master Record tab.
  2. Click the Process Documents tab.

Columns

Column NameDescription
NameThe name of the quality system document. Click to view properties and file list for the document. See Quality-based Document Control User's Guide: Quality System Document Properties.
TitleThe title of the quality system document.
TypeThe type of document: Quality System Document. If your company defined other types of change-controlled documents, you could see any of those types.
StateThe current lifecycle state of the document.
RevThe current revision level of the document.
If shows, a higher revision of this document exists.
VerShows a version number (if only one file is checked into the document) or (if the document contains more than one file). Click to view the File Versions page. See Collaboration and Approvals User's Guide: File Versions Page.

Subscribe

View and select subscriptions for a document. See Collaboration and Approvals User's Guide: Subscription Management.



Download

Download the files in the document to your local computer. Browse to the directory or folder you want to contain the file.

When the document contains multiple files, they are downloaded in a single zip file.



Check Out and Lock

Check out the files in the document to your local computer and lock the files from other users who cannot unlock it. Navigate to the folder or directory you want to contain the file.

When the document contains multiple files, they are downloaded in a single zip file.



Update Files

Update a checked-out file to its next version. See Collaboration and Approvals User's Guide: Uploading Files (you cannot update files using the applet).



Check In

Check in a new file. See either Collaboration and Approvals User's Guide: Uploading Files.

ViewOpen the file in a viewer app.

OwnerThe name of the person responsible for the document. Click to view the properties for that person.
Responsible OrganizationThe name of the organization that owns the document. Click to view the properties for that organization.
SMEThe Subject Matter Expert responsible for reviewing the document. Click to view the properties for that person.
Opens the properties for the document in a new window.

Toolbar Commands

The commands below are available only to users with the Quality Manager role.

Action Name Description
Add Existing Adds a document to the list. The search page opens where you can search for any document managed by the change control system.
Remove Removes the selected documents from the list; click OK to confirm.
