Document Classification Lifecycle

The Document Classification lifecycle defines the process for Document Libraries and Document Families.

Create

Only Librarians can create Document Libraries and Document Families. When a new document classification object is created, its lifecycle state is Create. It remains in this state so the hierarchy can be added to or changed. When ready, the owner promotes the document classification to the Review state.

Review

The designated approver must review and approve the document classification before it can be used. Once the reviewer signs off on the document classification, it is promoted to the Approved state.

Approved

Library users can access the documents in the library and document families. The Document Classification remains in this state as long as it is in use.

Locked

The Librarian can lock a document library or classification. Typically, this is done because edits to the library structure need to be made, or for any reason users need to be prevented from accessing the documents in the library.

Obsolete

The document classification can be promoted to the Obsolete state when it is no longer required. Users can view the files in the library, but cannot edit them or change the document library hiearchy.
