Inserting a Smart Link and URL

You can insert a reference of a document in 3DEXPERIENCE using the Smart Link function. You can insert links to documents in 3DEXPERIENCE or from Office 365 folders using the Insert URL function.

Required access roles: Author, Leader, Owner


Before you begin:
  1. Verify that Smart Tags option is enabled in your Microsoft Office application.
  2. Navigate to Office options from the Office menu. Select File > Options > Proofing > AutoCorrect Options and select the Actions tab.

    Select the 3DEXPERIENCE Smart Tag check box.

    Note: For Microsoft Outlook, select File > Options > Mail > Spelling and AutoCorrection > Proofing > AutoCorrect Options and select the Actions check box.

    Select the 3DEXPERIENCE Smart Tag check box.

Notes:
  • You must enable the Smart Tags option for every Microsoft application.
  • You can deactivate the feature used to recognize a link as a smart tag in Microsoft Office using an option available in the Smart Tags menu. This function is also applicable for newer documents and for a different user.
  • The 3DEXPERIENCE Smart Tag option is now available in the Additional Actions menu in Microsoft Office 2010, Microsoft Office 2013, and Microsoft Office 2016.

About Microsoft Office Integration
  1. In the Microsoft Office application, navigate to the 3DEXPERIENCE tab.
  2. From the toolbar ribbon, click Smart Link > Smart Link .
    The Insert Smart Link dialog box appears.



  3. Click 3DEXPERIENCE to view the folders in the server.
  4. Double-click the folders to view the document objects inside the folders and select a document from the list.
  5. Click Insert.
    A Smart Tag is added to the document at the cursor location that includes the object type, object name and the object revision.

    You can use the Smart Tag menu to access information stored in 3DEXPERIENCE about this object like its Attributes and Revision/Versions.

    Notes:
    • In Microsoft Office 2010, Microsoft Office 2013, and Microsoft Office 2016, you have to select the smart link inserted in a document and right click it to view the Smart Tag options available in Additional Actions menu.
    • The Smart Tag menu of 3DEXPERIENCE is not translated for NLS.
    • You can only insert Smart Tags of documents in 3DEXPERIENCE, and not documents from Office 365 folders even though Collaboration for Microsoft supports integration with Office 365.
  6. To insert a link to a document from a Office 365 folder, click Smart Link > Insert URL in the toolbar ribbon and select a document from the Insert Smart Link dialog box.
    A link to the document is added to the document at the cursor location. The document can be accessed from the web.
    Note: You can insert links (using the Insert URL command) of both documents from Office 365 folders and documents in 3DEXPERIENCE.
