Using Keyword Capture

You can use keywords to identify and capture requirements, chapters, and comments found in a requirement specification. Keywords can be used in automatic mode without any user intervention or in semi-automatic mode where a user has the ability to change the captured content.

Note: You cannot use keywords to capture sub requirements.

Required responsibilities:

  • Baseline: Leader (when the object is in the Frozen state) or Author


Before you begin: The Requirement Capture program must be installed on your local computer. For more information, see Installing Requirement Capture for Microsoft Word. You must have a requirement specification document that can be opened in Microsoft Word.
  1. Open the requirement specification document in Microsoft Word.
  2. Review the specification to decide whether you want to make an automatic or semi-automatic capture.
  3. On the Requirement Capture toolbar in Microsoft Word, click Keyword Capture .
  4. To specify keywords, click the Show link next to Keywords.

    Keywords are used to identify a requirement, chapter, or comment in a Microsoft Word document. During an automatic or semi-automatic capture, only the selected keywords will be used to mark up the document.

    You can perform the following actions with keywords:

    • To add a new keyword, type the keyword in the text box, then click Add.
    • To use a keyword, select the check box next to it.

  5. To perform an automatic capture, select the Show link next to Automatic Capture.

    The automatic mode captures requirements and comments in the Microsoft Word document, without any user intervention.

    You can perform the following actions in automatic capture mode:

    • To capture a sentence that contains any of the selected keywords, click Sentence.
    • To capture a paragraph that contains any of the selected keywords, click Paragraph.
    • To tag the selected keywords as requirements, click Requirement.
    • To tag the selected keywords as comments, click Comment.

    After you have made your selections, click Capture.

    The program tags the document with requirements or comments. If you clicked Sentence, any sentence that contains any of the selected keywords is tagged as either a requirement or comment, depending on your selection. If you clicked Paragraph, any paragraph that contains any of the selected keywords is tagged as either a requirement or comment, depending on your selection.

    A busy cursor displays until the program finishes tagging all of the relevant sentences or paragraphs in the entire document. Once the automatic capture process starts, you cannot intervene or cancel the process. After automatic capture is complete, you can continue to import requirements and comments.

  6. To perform a semi-automatic capture, select the Show link next to Semi-Automatic Capture.

    The semi-automatic capture mode is a more controlled capture where you can determine whether to tag particular content in the document as a requirement or comment.

    You can perform the following actions in semi-automatic mode:

    1. Select one or more keywords.
    2. Click Find Next to move to the next requirement or comment to find content that contains any of the selected keywords.
    3. When the next chunk of content is found, review the content to decide whether to tag it.
    • To tag the content as a requirement, click (Requirement).
    • To tag the content as a comment, click (Comment).
    • To tag the content as a chapter, click (Chapter).

    You decide for each chunk whether to tag a single sentence or multiple sentences as a requirement, comment, or chapter.

    After semi-automatic capture is complete, you can continue to import the requirements, comments, and chapters.

  7. Click Done to close the Keyword Capture dialog box.
