Editing Rich Content

You can edit the rich content of requirements, comments, test cases, and use cases. Depending on which editor your Business Administrator has configured for use, you can edit rich content using either the built-in HTML editor or Microsoft Word. You must use CKEditor for Rich text editing and formatting.

Important: If you have configured Internet Explorer to never update your cached files, when you edit then save rich content you may see a Java error message even though the rich content has been saved correctly. Microsoft does not recommend configuring Internet Explorer to never update your cached files because it can cause performance problems.

Before you begin: To use Microsoft Word as your rich content editor, your Business Administrator must have configured it as the default editor and you must have Microsoft Word and the Collaboration for Microsoft Client installed on your local computer. Open the structure that contains the object with rich content that you want to edit.
Note: You can also edit rich text content on the object's Properties page.

Edit Rich Content Using the Built-in HTML Editor

If your Business Administrator has configured the built-in HTML Editor as the default editor, you use it to create and edit all rich content for requirements, comments, test cases, and use cases.

Required responsibilities:

  • Baseline: Leader (when the object is in the Frozen state) or Author

Note: When the HTML editor is your default rich content editor, when you capture rich text data that contains OLE objects or charts from a Microsoft Word document, the OLE object is automatically converted into a rich content object with an image.

  1. Hover your cursor over the cell that contains the rich content.
  2. Click in the top right part of the cell to view and edit the rich content.
    The HTML Content View window opens.
  3. Click Modify.
    The HTML editor controls appear.
  4. Edit and format the rich content using the HTML editor controls:

    Control Description
    Bold Makes the selected text bold.
    Italics Makes the selected text italic.
    Strikethrough Strikes through the selected text.
    Link Creates a hyperlink from the selected text or at the cursor. You can specify the display text, protocol, and an URL when creating the hyperlink. The target is automatically set to open the link in a new window (_blank).
    Unlink Removes a hyperlink from the selected text.
    Formatting Styles Allows you to select a preformatted style for the selected text.
    Paragraph Format Allows you to assign a paragraph style to the selected text.
    Paste as plain text Pastes the copied text on your clipboard as plain text, without any formatting.
    Paste from Word Pastes the copied text from Microsoft Word as is, retaining any formatting.
    Undo Undoes the last action.
    Redo Redoes the undone action.
    Insert/Remove Numbered List Inserts a numbered list at the cursor or turns the selected text into a numbered list.
    Insert/Remove Bulleted List Inserts a bulleted list at the cursor or turns the selected text into a bulleted list.
    Text Color Allows you to choose the color of selected text.
    Background Color Allows you to choose the background color of the selected text.
    Table Inserts a table at the cursor based on your specifications. You can insert the copied contents from a Microsoft Excel spreadsheet into the table and retain the content formatting. The table and the Excel selection must contain the same number of rows and columns to paste the copied content into the table successfully.
    Image Allows you to select an image to insert at the cursor.
    Drop files here Allows you to drop files into the editor so that the content is editable.
    Switch Toolbar Toggles between the full toolbar and an abbreviated version of the toolbar.

  5. Click Apply.

The rich content is saved and is updated in the content field.

Edit Rich Content Using Microsoft Word

If your Administrator has configured Microsoft Word as the default rich content editor, you use it to create and edit all rich content for requirements, comments, test cases, and use cases. In addition to the text editing capabilities, Microsoft Word allows you to edit additional types of content such as math equations, drawing objects, and embedded objects.

When Microsoft Word is your default rich content editor, if you open legacy HTML data containing a rich content object, the rich content object is automatically converted to an OLE object. If there is a rich content object image, it is automatically converted to an OLE preview image. If the rich content image is the default rich content object icon, then it is not converted and the default icon is displayed instead. If the rich content object is a chart, it is converted to a chart in Microsoft Word.

If you are using a mobile device to edit rich text data that contains OLE objects or charts, the OLE objects are converted to rich content objects. The OLE preview object is converted into a rich content object image.

Note: If you are using Firefox as your web browser, the first time that you launch Microsoft Word to edit rich content, you should select Remember my choice for ms-word links in the Launch Application dialog box.

Before you begin: You must have already opened a Microsoft Word document so that the process is running before you attempt to use the Edit in Word capability. This will ensure that the web browser is not prevented from opening the rich content in Microsoft Word because of your computer's security settings.
  1. Double-click in the cell that contains the rich content.
    The HTML Content View window opens.
  2. Click Edit in Word.
    The rich content opens in a Microsoft Word document.
  3. Use the available formatting options in Microsoft Word to create and edit the rich content.
  4. When you have finished editing the rich content, close the Microsoft Word document.
    The content is updated in the HTML Content View.
  5. Click Apply.

The rich content is saved and is updated in the content field.
