Document Release Lifecycle

The Document Release policy governs Document lifecycle states in a baseline behavior environment. These states are also referred to as maturity states. A Document is created in the In Work state.

Private

In the Private state, Documents are only accessible to the owner, and are not shared in the project community.

Only the Owner of the Document can demote it to the Private state. When the Owner promotes the Document to the In Work state, the project community can access it. If the Document is created in a public collaborative space, users with the Author baseline access role or a customer-specific access role that allows that you to create documents can access the Document.

In Work

A Document, and any new version of a Document, ia created in the In Work state. It can be modified or deleted.

The Owner can demote the Document to the Private state, or promote it to the Frozen state. The Leader can promote the Document to Released. The 3DEXPERIENCE platform Administrator can enable you to create new revisions of a document in the In Work state if a revision does not currently exist in that state. In this case, if there is no revision of the document in the In Work state, you can create a new revision for it. However, it is possible to demote existing revisions to the In Work state resulting in more than one revision in the same state at the same time.

Frozen

In the Frozen state, the Document is being reviewed for approval.

Users can demote and promote Documents between the In Work and Frozen states and from the Frozen to Released states without creating new versions. The Leader can demote the Document to Private, or promote it to Released.

The 3DEXPERIENCE platform Administrator can enable you to create new revisions of a document in the Private state if a revision does not currently exist in that state. In this case, if there is no revision of the document in the Frozen state, you can create a new revision for it. However, it is possible to demote existing revisions to the Frozen state resulting in more than one revision in the same state at the same time.

Released

In the Released state, the Document is available for production or delivery, and can be accessed by other protected projects.

Released Documents cannot be deleted or demoted. When the Document is no longer valid, the Owner promotes it to the Obsolete state.

Obsolete

In the Obsolete state, the Document is no longer used and must not be used in projects.

The Document cannot be promoted, demoted, or deleted. You can, however, create a new version of the Document.
