Authoring a Master Graphic Element

You can author the graphics for a master graphic element.

Required access roles:

  • Baseline: Author
  • App-specific: Master Copy Author


Before you begin:
  • View the Artwork Element page of the master copy authoring task. For more information, see Artwork Element Page of a Master Copy Authoring Task.
  • The user has Modify access to the object.
  • Ensure that no new revision is attached to the artwork package (yet) as an implemented item.
  1. Edit the following details about the master copy authoring task for the master graphic element.
    1. Optional: In the Actions column, click to download and view the graphic associated with the graphic element.
    2. In the Actions column, click to attach another graphic as the primary graphic with the graphic element.
      The Update Files page appears
    3. Click Browse to select graphic and click Done.
      The selected graphic is set as the primary graphic and the Update Files page is closed.
    4. Click i for the task to view and edit the task details.
      The Summary View page appears.
    5. In the page toolbar, click Edit Details.
      The Edit Task Details page appears.
    6. Enter these details.

      Field Description
      Due Date Click to select an appropriate due date and select an appropriate due time from the list.
      Comments Type the comments.

    7. Click Done.
      The due date and comments are saved, and the Edit Task Details page is closed.
    8. Optional: In the page toolbar, click Update Assignee to change the assignee.

      Note: If you change the assignee, you cannot author and submit the task. If a route template is assigned to the master graphic element, the option to update an assignee is available only if the Allow Delegation check box was selected.

      The Authoring for Master Graphic Type page appears.
    9. Optional: Enter these details.

      Field Description
      Due Date Click to select an appropriate due date and select an appropriate due time from the list.
      Update Assignee Select the type of the new assignee.
      New Assignee Click to select a different master copy author.
      Reassignment Comments Type the reassignment comments.

    10. Optional: Click Done.
      The assignee is changed and the task is removed from the tasks in the Assigned Tasks tab, and the Authoring for Master Graphic Type page is closed.
    11. Close the Summary View page.

      This updates the Artwork Package page for the master graphic authoring.

  2. Click Save to save the changes.
    If the master graphic element is in the Release state, the following actions occur:
    • A new revision of the master graphic element is created.
    • The owner is changed to the logged in user.
    • The new revision is connected to the artwork package as an implemented item.
    • The new revision is associated with the POAs on the artwork package.
    Note: You cannot revise the graphic elements that are released by the administrator or a VBM user. To allow the master copy author to revise the graphic element, add the master copy author as part of the library with Add access or promote the library to the Active state.
  3. Select the Copy Element Type check box of a master graphic element.
  4. Click Submit.

  • If the selected graphic element has no graphic, it is rejected and an alert message is displayed.
  • If the graphic element has a graphic and it is not in the Release state, a notification email for master graphic approval is sent to the master copy approver.
  • If the graphic element has a graphic and it is in the Release state and if you have not modified the graphic, a notification email is sent to the artwork project manager.
    Note: A notification email is sent to the route owner whenever you submit the authoring task. The authoring task assigned to the master copy author is marked as complete. If you submit the revised master graphic element according to the master copy approver's comments and the FDA compliance is activated, enter your credentials before sending the notification email.
