Meeting Properties Page

The Properties page for a meeting displays lets you access the details of the meeting (such as scheduling and attendees).

Required access roles: If you have access to the meeting, you can access this page.

To access this page:

  1. Open the required meeting. See Opening a Meeting.
  2. Click the name of the meeting.

Fields

Field Name Description
Type The type of object: Meeting.
Meeting Type The specific type of meeting.
Subject The name given to the meeting by the meeting creator.
Meeting Location The specific room or area of the building where the meeting will be held if the meeting is not an online meeting.
Context The item the meeting is associated with, such as a Bookmark Root.
Description The description entered by the meeting creator.
Host The person who called the meeting.
Co-owners One or more other people who might also need to manage the meeting, such as adding attendees and editing the meeting details.
Meeting Date The date the meeting starts.
Start Time The time the meeting starts. The time is converted to your local time, even if the meeting host and/or other attendees are in a different time zone.
Duration in Minutes The number of minutes the meeting is scheduled to last.
Conference Call Number For online meetings, the telephone number that meeting participants will call to join the meeting.
Conference Call Access Code For online meetings, the password or code meeting participants must enter to join the online meeting.
Online Meeting Provider Web-based meeting provider.
Online Meeting Instructions Details of steps that meeting participants must follow to join the meeting. If a URL link is included, you can click the link to open your default Web browser and access the web page of the meeting provider.
State
  • Create. The meeting has been created, but the person who created it is still working on its definition. Attendees have not been notified.
  • Scheduled. The meeting attendees have been notified of the meeting.
  • In Progress. The meeting is currently taking place.
  • Complete. The meeting host has closed the meeting.

Actions or Page Toolbar

The available actions depend on the current state of the meeting. You must be the creator of the meeting to perform these actions.

Action Description
Send Invitations Shows in the Scheduled state: sends emails to the Attendees with the meeting details.
Demote for Edit Demotes the meeting from the Scheduled to the Create state. Meetings must be in the Create state to be edited.
Edit Meeting Edits the properties listed. Only the meeting host can edit this information. The meeting must be in the Create state. You can edit the details (such as start time and date, duration, and description) for meetings that you have not yet promoted to the Scheduled state. If the meeting has already been scheduled or started, you must demote it to the Create state if you want to edit details. When you promote it again, notifications are sent to the meeting attendees to inform them of the changes you have made.
Update Invitations Promotes the meeting to the Scheduled state after previously being demoted to the Create State. Sends email with the new meeting details to the Attendees.
Start Meeting Promotes the meeting from the Scheduled to the In Progress state.
Complete Meeting Promotes the meeting to the Complete state.
Demote Demotes a meeting to its prior lifecycle state. To edit a meeting, it must be in the Create state.
