Access Request Properties

The Properties page contains basic information about the request. You can use this page to approve or reject a request.

Required access roles:

  • Baseline: Administrator, Reader, Author, Leader, Owner
  • App-specific: Library User, Librarian, Release Manager, Reviewer, Author, Limited Author, Request Reviewer

To access this page:

  1. Open the required access request. See Opening an Access Request.
  2. In the navigation pane, click Properties.

Fields

Field Name Description
Name The request name.
Revision The revision number or code of the request.
State The current state of the request in its lifecycle.
Owner Name of the user who is assigned to review the request.
Originator The person who created the request.
Reason for Request The reason the requestor entered when creating the request.
Grant Expiration Date The date when the grant expires, unless it has been extended. After the request is granted, the requestor and members have until that date to download the requested documents. On that date, the request is automatically promoted to the Expired state and access grants are removed from the requestor and members.

If the request reviewer does not specify a date, the requestor and members have permanent download access to the document. If the requestor later requests an extension date, the request reviewer can update this date if deemed appropriate.

Extension Date The date when the grant expires after the access has been extended. If the requestor needs more time to access the document, the requestor can use to add an extension date. This date is a request only; the request reviewer must approve the new date, and until then, the original expiration date is in effect.
Include Self Shows No if originator of the request is requesting access only for other users, otherwise Yes.
Documents Requested Names of documents being requested.
Members Shows other users who are included in the access request.
Comments Comments entered by the reviewer when granting or rejecting the request. Only the request reviewer can enter comments and only for requests that are in a state other than Submitted. For example, a comment could be added to explain why the expiration date is being changed or why the request is being rejected.

Actions/Toolbar Commands

State Actions Description
All Edit Edits the properties listed.

Only the Reader or Request Reviewer has access to set the grant expiration date and to include comments in the Review state. Other users can edit the reason for an access request that they submitted and request an extension for access to the document.

Note: If none of the fields can be edited, a later request exists (such as the requestor asking for an extension).

Review Approve Approves the request.
Reject Rejects the request.
Submit Promotes the request to the Submitted state.
Approved Review Promotes the request to the Review state.
Expire Promotes the request to the Expired state.
Rejected Submit Demotes the request to the Submitted state.
