Creating Companies, Subsidiaries, Business Units, or Departments

You can add companies, subsidiaries, business units, and departments (collectively known as organizations). If details later need to be modified, you can select Edit Details from the page Actions menu on the Properties page to make changes.

Required access controls:

  • Baseline: Administrator, Owner
  • App-specific: Organization Manager, Company Representative

  1. Depending on the type of organization you want to create, perform one of these steps:

    • To create a company: in the navigation pane, click Companies.
    • To create a different type of organization, open the required parent organization. For more information, see Opening a Company, Subsidiary, or Business Unit, then select the type of organization you want to create in the navigation pane:
      • Business Units
      • Subsidiaries
      • Departments

  2. From the page toolbar, click Create Company .

    On the Companies page, you can also select Create Supplier or Create Customer to create a customer company or a supplier company.

  3. Enter these details:

    Field Name Description / How to Enter Values
    Name The name of the organization as you want it to appear on the pages of apps. Type any alphanumeric characters (numbers, letters, or allowed symbols). Name must be unique across all companies in the database.

    The length of the object name cannot be more than 116 characters.

    Parent Company For Companies and Subsidiaries only: the parent is automatically entered and cannot be changed.
    ID Type any alphanumeric characters (numbers, letters, or allowed symbols) to identify the organization.
    Cage Code An ID issued by the federal government. Type the complete Cage Code (must be a whole number). The format of the code is the first and fifth position must be numeric. The second, third, and fourth can be any mixture of alphanumeric excluding I and O.
    DUNS Number An ID issued by Dunn & Bradstreet (must be a whole number).
    Phone Number Main phone number or phone number of primary contact. Type the complete phone number with area code (numbers, letters, or allowed symbols). Include the country code if outside US.
    Fax Number Main fax number or fax number of primary contact. Type the complete phone number with area code (numbers, letters, or allowed symbols). Include the country code if outside US.
    Web Site Address (URL) of website. Do not include "http://".
    File Store For Companies and Subsidiaries only, select a store from the list to specify where files for the organization will be stored in the database. This store overrides the store defined in the policy (using MQL).

    The Common Document Model uses the store value defined here, not the store defined in a policy. If you create a policy with a different store, define this attribute value as null so that the store in your policy can be used.

    FTP Host The server name for the organization's FTP site.
    FTP Directory The directory for the FTP site.
    State Only shows for a Department. Shows Active, the state of the organization when it is created. You cannot change the state to Inactive while creating the organization.
    Description Additional information that describes the organization.
    Address For Companies and Subsidiaries only: the street address.
    Postal Code For Companies and Subsidiaries only: the postal code.
    Country For Companies and Subsidiaries only: select the Country name from the list.
    Resource Manager Only shows if Project Management is installed. The people who can add, remove, and edit resource assignments for this organization. Click to select the required person. See Predefined Queries.
    Standard Cost Only shows if Project Management is installed. The standard cost rate per hour for a resource pool or organization. Enter a value and select the denomination from the list.
    Alternate Supplier Names Only shows when creating a Supplier company. Other names the supplier might be known as. Only shows when creating a supplier company.

    To associate an image with a Company, Subsidiary, or Business Unit, see Images Page. You cannot associate an image with a Department.

    To define values for Materials Compliance Management data options, such as JAMP AIS or IMDS, edit the properties page for the organization after creating it.

  4. Click Done.
