Creating Simple Routes

A simple route has one or more route task recipients, each with the same route action (for example, Approval, Comment, or Notify Only) and the same due date. For example, you might use a simple route for a document that needs approval by three people on a certain date.

Required access roles: If you have access to an object, you can create routes for it. For baseline behavior, you must have at least the Contributor access role.

About Creating a Route
  1. To create the route from thetop bar, click > Routes > Create Simple Route.

    To create the route from the Routes Summary page:

    1. Open the Routes Summary page. For more information, see Routes Page and Routes Summary Page.
    2. Click Create Simple Route .

    The system automatically names the route by assigning a prefix and a sequential number for the name, such as R-000305.

  2. Enter these details:

    Field Name Description
    Instructions Explanation to the task assignees.
    Action Choose the type of task that you want the task assignee to perform. The action does not affect the person's access to the route's content:
    • Approve. The task recipient must choose an approval status: Approve, Reject, or Abstain. If the task assignee chooses Approve or Abstain and then completes the task, the route continues as usual. If the task assignee chooses Reject and then completes the task, the route is stopped and the route creator is notified. The system does not create the next task in the route until the route creator resumes the route.

      Your Business Administrator can choose to hide the Comments field when approving routes.

    • Comment.The recipients must enter a comment before completing the task.
    • Notify Only.The task is automatically completed without the recipient taking any actions.
    Due Date Click the calendar and select a date. For instructions about using the calendar.
    Start Route Immediately Click the check box to automatically start the route when you finish defining it on this page.
    Allow Delegation Click the check box to delegate actions to others.

  3. In the Route Task Recipients section, add members to the route.

    You can search for user groups or individual people. If the scope of the route is a Bookmark Root or project space, you can add route members outside the scope. However, only those members who are within the scope will have access to the route content.

    1. Click Add User Groups or Add People .
    2. Enter search criteria and click Search. For help entering criteria, click on the Search page.

      All members who meet the criteria you entered are shown. The check boxes for those already added to the route are dimmed.

    3. Select the members that you want to add.
    4. Click Done.

      The members you chose are added to the Route Task Recipients display box.

  4. To view the details of a selected route member:
    1. Highlight the member name in the Route Task Recipients display box.
    2. Click Properties.
  5. To remove any members that you do not want:
    1. Highlight the members you want to remove from the route.
    2. Click Remove
  6. Click Add Content . Search for and select the required content. You must have read access to the content to add it to a route. For more information, see Predefined Queries.
  7. Click Done.

    You can add additional tasks, content, or members (Access) after creating a simple route.
