Routes Page and Routes Summary Page

The Routes Summary page lists the routes you created or that include a task assigned to you. It also includes all routes that include an item you have access to, such as a specific document or risk. The Routes page for an item, such as a task, product, or Bookmark Root, lists the routes for that item.

The Routes Summary page only shows routes you own or with tasks assigned to you. An Administrator who wants to view routes or tasks assigned to other users can use 3DSearch to find those routes or tasks. For more information, see About 3DSearch Queries.

If you belong to a user group that is assigned a task in a route, that route does not show in this list until you accept the task for the user group.

To access this page:

  1. In the navigation pane, click Routes > Routes Summary.

To list routes for a specific object, including a task that is part of a route:

  1. Open the parent object.
  2. In the navigation pane, click Routes.

Columns

Column Name Description
Name The name of the route. If the owner chose AutoName when creating the route, the name contains a prefix and a number. Click the name to open the route. See Opening a Route.
Shows the status of the route. A green arrow means that all route tasks are on time. A yellow diamond means at least one route task, not including the last task in the route, is late. A red square means that the last task is late.
Description The description the owner entered for the route.
Route Base Purpose Determines the kind of tasks included in the route. The list of routes for some objects do not include this column.

Purpose Description
Standard The route can include tasks that require the assignee's approval or comment or tasks intended only for notification or information.
Approval The route includes only tasks that require the assignee's approval.
Review The route includes only tasks that require the assignee's comment.

Activity State or Route Activity Status The state of the route:

State Description
Not Started You created the route but did not start it, so no tasks have been created yet; only the route creator can access Not Started routes.
Started The route has been started but not all members have completed their tasks.
Stopped A route member has rejected the route (chosen Reject for the task approval status).
Finished All members have completed their tasks for the route.

Scope Only shows on the Routes Summary page. The members who can access the route: all, organization, or a specific Bookmark Root or project space. Not on the page for a product. on the page for a document.
Due Date The date the final route member is scheduled to complete his or her task. If this date has passed and the final task has not yet been completed, the route status is red.
Owner The person who created the route.
State Condition Only shows on Routes page of an item. The lifecycle state of the parent item when the route was created.

Filters

Click to filter the page:

Filter Choices Description
Active Shows those routes currently in process.
Complete Shows routes that are complete.
All Shows all routes regardless of status.

Set Task Escalation Defines the task escalation. This option appears only for the route owner. Configuring Task Due Date Notifications
Start/Resume Starts a checked route whose state is Not Started or stopped.

You must own the route to start or resume a route.

Starting or Resuming a Route or Processing Rejected or Stopped Routes
Delete Deletes the selected route. Enter additional information about why you are deleting the route and click Done. Route creators and route members can delete routes as long as it has not been completed.
Note: Completed routes cannot be deleted to allow a record of what occurred for the route, especially if a connected object was promoted.

Deleting a route removes all information about the route, including all of its tasks, and stops any further tasks from being created. If the tasks for the deleted route have subroutes, the subroutes and associated tasks are also deleted and their assignees are notified.

Notifications are managed by 3DNotification. You can view notifications in the Notification Center, and you can select to receive email notifications. Notifications include links to the route or task. Links for routes open the properties for the route in Route Management and links for tasks open in Collaborative Tasks. Note: Notifications also show in Me > Messages. Your administrator can disable messages here. In addition, your administrator can configure your system so that links for routes and tasks open in Collaboration and Approvals instead of Route Management or Collaborative Tasks.

Your Administrator can configure routes used for Approvals so that they cannot be deleted after they are started. If the route is still in the Define state, it can be deleted. This rule does not apply to routes with the route purpose of Standard or Review.

Remove Removes the selected route from the object; click OK to confirm.

Only shows on the Routes page for an item.

Transfer Ownership Transfers the ownership of the route to another user. Moving Content (Transferring Ownership)

Charts

The charts on the right side of the Routes Summary page display information about routes. The Routes page for a specific item does not show charts. To use the charts, you can:

  • Click Hide Panel to close the charts panel.
  • Click a heading to show or hide the chart.
  • Click There Are n Pending Routes at the upper right of the chart to filter the list of routes to show only the pending routes.
  • Hover over an icon to see the route name, title, action, assignee, and due date.
  • Click a task icon to view the related route details.
  • Click the number labels at the bottom of a chart or any bar or pie wedge to update the list to only show items matching that counter or type.

The Routes Summary page includes these charts:

Routes by Content Type Shows a bar and total for each type of content, such as Changes or Documents.
Routes by Route Base Purpose Shows a pie chart with wedges for each route base purpose.
Routes by Route Template Shows a bar and total for each route template. Bars for routes created without a template have no name.
