Monitoring Problems

Using E-Notes, you can list known problems, define assignees and corrective actions, and track their resolution status.

You can then display the Leanget in a Live Meeting. For more information, see Running a Live Meeting.


Before you begin: Add the Problem Log Leanget to a Board. For more information, see Add Leangets.
Important: Only one Problem Log is supported per account, that is, you can only have one across all your 3DLean boards.
Note: You can add Problems from any Leanget. They automatically appear in the Problem Log Leanget. Deleting a problem from the Problem Log Leanget also deletes it from other Leangets. However, deleting a Problem from other Leangets does not delete it from the problem in the Problem Log Leanget.

Leanget Specific Commands
  1. Open the Problem Log Leanget from a board or from a Live Meeting.
  2. Tap Tools and create a Problem.
    The problem displays in the Waiting section of the Problem Log.
    Tips:
    • Use one E-Note per problem.
    • Use colors and stickers to organize your problems by priority, type, or assignee.
    • Tap , then tap to sort your problems by assignee (firstly) and E-Note color (secondly).
  3. Edit the problem:
    1. Tap the problem, then tap to open the Edit menu.

      Note: Alternatively, double-click the problem to open the Edit menu.

    2. Type a title for the problem.
  4. Add context to the problem:
    1. Tap the problem, then tap .
    2. Optional: Add annotations using the tools on the right side of the Leanget.

      Note: The annotations are visible on the context capture only.

    3. Tap , then, at the lower-right corner of the screen, tap to capture the problem within the Leanget.
    4. Tap the problem, then tap to open the Edit menu.
    5. In the Context tab, tap the image to zoom in and out the capture.

    Tip: Alternatively, tap to upload a context image, or drag an image directly from your file explorer and drop it into the Context tab.

    The capture is added to the problem as context. A paperclip displays on the problem.
    Note: You can display only one context at a time: making another capture or uploading an image replaces the previous one. Click to open the Documents panel and reload an existing context.
  5. Add information to the problem:
    1. Tap the problem, then tap to open the Edit menu.
    2. Tap the Sketch tab and add information using or .
  6. Assign the Problem:
    1. Tap Tools , then tap Team.
    2. Drag a team member or a collaborating team to the problem.
    3. Drag the problem to the Responsible assigned section.

    Tips:
    • Place important problems on the Top Priority area of the section.
    • Tap then tap in the upper-right corner to align problems within each section.

  7. Associate a corrective Action with the problem:
    1. Tap a problem, then tap .
      The Edit menu displays.
    2. Tap the button in the bottom-left corner.
      An Action is associated with the problem. If necessary, repeat the step to create several actions.
    3. Close the Edit menu.
      The action appears stacked under the problem on the Problem Log.
    4. Drag the problem to the Action(s) identified section.
  8. Complete the action associated with the problem.
    The symbol indicates that all the actions associated with the problem are marked as done, but the problem itself is not yet resolved.
    Note: The actions associated with the problem can be deleted from the Action Log Leanget. However, actions still display in the associated problem, but can no longer be modified.
  9. Drag the problem to the Closed section.
    The problem is resolved and marked with .
    Note: To reopen a resolved problem, drag it back to either of the other sections according to its status.
  10. Optional: To delete all problems in the Closed section, tap Select then hold Delete .
    The resolved problems are deleted, but their associated actions remain available in the Action Log Leanget.
