Reference Documents

You can view reference documents and add them to a part or a change object. To be added, a document must exist in the database. The list displays only those documents in which you are the originator or current owner.

To view reference documents for a part:

  1. Open a part.
  2. Click the Part Specs & Documents category, then click the Reference Documents tab to show a page containing a list of documents connected to the object for reference only.

Engineering BOM Management follows these rules for user access levels:

  • Users with sharing access to a part inherit the same level of access to the part's reference files as they have to the part.
  • Users with Read or Read /Connect access can download and view files.
  • Users with Read-Write access can download and lock the files, modify them, and upload (checkin) the modified files.
Table 1. Columns
Column Description
Name Name of the document, as stored in the database. This column contains highlighted links. Click any name in this column to view the Properties page for that object, or click at the end of the row to view the Properties page in a new browser window.
Title The title given to the document when it was created


Indicates the how many files are attached and how many are locked. For example, 1/2 indicates that two files are attached and one of them is locked.


Indicates whether an approval route is assigned to the document. If an icon appears for a document, the approval route is assigned.
Revision Document revision number or code
Version Document version number
State The current state of the document in its lifecycle.
Type The document type, often a drawing print, CAD drawing, or CAD model
Description A brief summary of the contents of the document.
Actions This column contains icons representing actions that you can perform for the document. Move your pointer over the icon to see its function. For details, see Documents and Content.

Actions/Toolbar Commands

Click any of the following commands from the page Actions menu or toolbar.

Command Description
Create Document Opens the Create Document page. See Creating Documents.
Add Existing Opens the Search page, where you can define criteria to search for objects in the database. See Predefined Queries.
Download Copies checked files to your local computer without locking them on the server. Multiple files are downloaded in a single zip file.
Checkout Check out the document. Prevent others from editing the document and checking it in.
Remove Removes selected files. Click OK to confirm. This removes the relationship between the document and the context part, but does not delete the document from the database. To select all documents for removal, click the check box in the title bar. Part owners can remove documents from the list only when the part is in the In Work state of its lifecycle.
