Documents and Content

Many objects can list documents and content associated with that object. Icons in the Actions column show what actions can be performed on the specific type of content.

Required access roles: If you have access to an object, you have access to its documents.

Access to the Documents Page

Depending on the context object, this page is accessed using any of these categories:

  • Reference Documents
  • Attachments
  • Specifications
  • Deliverables
  • Document Sheets
  • Supporting Documents
  • Standard Content
  • Documents

Columns

The columns in this page vary depending on the object the documents connect to.

Column Name Description
Locked Files Number of files locked / number of files checked into this document. For example, 2/4 indicates 2 files of the 4 files checked into this object are locked.
(Route) If the icon shows in the row, the document is included in an active route. See Routes.
Name You can click the name to view the properties for the document and the files checked into it.
Title The title of the content item.
Rev The revision ID. See Document Revisions Page.
Ver The version ID for a file, or an icon indicating multiple files. See File Versions Page.
Type The content type.
Actions The actions you can perform on the listed content.
Note: Check out and Download actions are not available for mobile devices.

Subscribe

View and select subscriptions for a document.

Download

Download the files in the Document to your local machine. Browse to the directory or folder you want to contain the file.

When the document contains multiple files, they are downloaded in a single zip file.

Check Out and Lock

Check out the files in the Document to your local machine and lock the files from other users who cannot unlock it. Navigate to the folder or directory you want to contain the file.

When the document contains multiple files, they are downloaded in a single zip file.

For Documents governed by the Document Release policy, these access roles have the indicated accesses:

Baseline Access Role Access
Administrator Can check out the Document in any state.
Owner Can check out the Document in any state except Obsolete, but must be logged in with the active organization and collaborative space of the Document.
Leader Can check out the Document in Private, In Work, and Frozen states.
Author and Contributor Can check out the Document in the Private and In Work states depending on the organization and collaborative space of the document.

Checkin Checkin a new version of a checked out file. See Uploading Files.
Upload File Add a new file. See Uploading Files.

For Documents governed by the Document Release policy, the same accesses listed above for checkout also apply to check in.

Lock Lock the file without checking it out.
Unlock Unlock the file without checking in a new version.

Description A description of the content.
State The current state of the content
Owner The owner of the content.
You can click to view the Properties page for the document in a separate window.

Actions/Toolbar Commands

Create Document Creates a document. Creating Documents
Add Existing Adds an existing file to the file list for the object. Find and select the document.

For Issues, you can only add reference documents if the Issue is in the Closed state.

Predefined Queries
Download Copies checked Documents to your local machine without locking them on the server. If a document contains multiple files, they are downloaded in a single zip file. --
Checkout Copies checked files to your local machine and locks them on the server. If a document contains multiple files, they are downloaded in a single zip file. --
Remove Removes checked documents, click OK to confirm.

For Issues, you can only remove reference documents if the Issue is in the Closed state.

For document objects connected to objects in a DesignSync server, removing or deleting a file or folder only removes/deletes it in the 3DEXPERIENCE platform database; it does not remove or delete the file or folder from the DesignSync server.

Delete Deletes checked documents, click OK to confirm.

For baseline behavior, an Administrator can delete the document in any state.

Transfer Ownership Changes the owner of the document to another person. When you select a new owner, the Sharing page is not updated. The original owner, who created the document, still has full access. The new owner has all standard access for the document owner plus any access defined on the Sharing page. Subscribe Subscribes to document events for the selected documents. Subscriptions Page
