Adding and Removing References and Specifications

You can add specifications and references to a product. Specifications appear in the child product list while references appear in the Information panel under the Attachments tab.

Note: You cannot add files that are of the "Controlled Document" subtype to products as either attachments or specifications.
A specification document typically affects the design of an engineering object and must be reviewed and approved. Specifications that are associated with a product must be released before you can release the product. To change this requirement, contact your Administrator.

A reference document is associated with the product but typically does not directly affect the product design. References can include marketing materials, drawings, sketches, and communications.

Add Specification Documents

Specification documents can include designs and properties of the product and are listed as children of that product. To view specifications in the Information panel instead, see User Preferences.

Note: You cannot add specification documents to a released product.

  1. Open the product to which you want to add the document as a specification.
  2. In the toolbar, click Add and select one of these options under Specification Documents:

    Upload Documents Add a document that is not in the database.
    Existing Document Add a document that is in the database.

    You cannot drag specifications into the child product list.

    Tip: You can also drag document files to the Upload dialog box.

    Note: If you choose to view specifications in the Information panel, these commands are not available in the Add menu. Add specifications using the Information panel instead.

  3. Select the document to add.
  4. If you are uploading a new document and your system includes document subtypes, complete the fields.

    Notes:
    • If you add multiple documents, you can enter only the Document Type and Credentials.
    • If your system includes extensions and document subtype attributes, enter their values as required.

Add Files as References

References that you add to a product are listed in the information panel under the Attachments tab. References can include image, drawings, documents, and other file types.

You can add references regardless of the product's lifecycle state including the Released state. You can add only drawings and documents as references. Change management does not track adding and detaching reference documents.

Note: When you duplicate a product, the reference document files are attached to the duplicate and appear in the Attachments tab of the duplicate.

  1. Open the product to which you want to add the document as a reference.
  2. Click information and select the Attachments tab.
  3. Click one of the following commands:
    OptionDescription
    Upload Documents

    Select a file to upload.

    Add Existing Search for a file in the database.
    Drag a file  

    You can also drag a file into the Attachments tab.

    The Attachments tab shows the file. For more information, see Attachments.

Delete or Detach Specifications

You can either detach a specification from the product or permanently delete it from the database (which also detaches it from the product).

Note: You cannot delete or detach a specification from a product that is in either the Released or Obsolete state.

  1. Open the product that includes the specification.
  2. In the child product list, select the specification.
  3. Click in the toolbar and do either of the following:
    OptionDescription
    Detach Detach the specification.
    Delete Document Delete the specification.

Removing References

You can remove a reference from the product. The reference remains in the database.

Note: Change management does not track removing reference documents.

  1. Open the product that includes the reference.
  2. Click information and click the Attachments tab.
  3. In the attachments list, select one or more references to remove.
  4. From the toolbar, click Remove.

Downloading a Document

You can download references and specifications associated with a product.

  1. Open the product.
  2. Do one of the following:

    • To download a specification:
      1. Select the specification in the list of child product.
      2. In the product toolbar, select and select Download.
    • To download a reference:
      1. Click information and select the Attachments tab.
      2. Click (far right of the document name) and select Download.
    Note: You can also right-click a document and select Download.
