Editing Specification Documents

Specification documents appear in the child product list. You can check out a specification document, edit it, and check it back in. When checked out, the document is locked and other users cannot edit it.

Required Responsibility:

  • Anyone with read/write access can view a document, even if another user is editing it.
  • Any user can edit a checked-in document.
  • Only the user who checked out the document can update it.
  • Anyone with the Leader role can unlock a document that another user is editing. Right-click the document and select Undo Edit to unlock.
  • You cannot edit documents that contain multiple files. An error occurs.
    Note: You cannot add multiple files to a document inEngineering Release. Use another app such as Collaboration and Approvals.
  • A user can detach a document from a product even if another user is editing the document.
  • Even if user1 is editing a document, user2 can create a new revision and replace the old revision. User1 can replace the new revision with their edited document.


Before you begin: The document to edit must be in the child product list.

  1. In the child product list, right-click the document and select Edit. The document downloads and is checked out for editing.

    To cancel, right-click the document and select Undo Edit. The document is unlocked with no updates.

  2. Open the downloaded document, edit it, and save your changes.
  3. In the child product list, right-click the document and select Update.
  4. Select the edited file and enter comments.

The file is updated and unlocked for further editing if required.
