Creating a Controlled Print

Document Center Administrators (DCAs) can create a controlled print of a released controlled document then issue it to selected internal users and external contacts. Each controlled print has a unique Print Number for tracking purposes.


Before you begin: The controlled document must be in the Released state. You must have the Document Center Administrator role to create a controlled print.

  1. Do one of the following:
    • On the My Documents homepage:
      1. View the My Documents page tab.
      2. From the page toolbar, select View > Released.
      3. Select the released controlled document.
      4. From the page toolbar, select Actions > Controlled Print.

      or

    • In a released controlled document:
      1. View the Properties tab of the released quality system document.
      2. From the page toolbar, select Actions > Controlled Print.
  2. Enter these details as needed:

    Reason for PrintSelect the reason that you are issuing the controlled print of the released controlled document to the recipient:

    BlankNo reason is yet selected. You must select a reason to create the controlled print.
    ProductionThe controlled print is to put the document into production.
    ReviewThe controlled print is for review of the document.
    TrainingThe controlled print of the document is to be used for training.

    RecipientClick to search for the user to whom you are issuing the controlled print. A DCA can issue a controlled print to both app internal users and external people who have been added as contacts in the app.
    Files

    Only available if there are multiple files associated with the controlled document.

    Select which files associated with the controlled document should be included in the controlled print.
    Print MethodIf you want to create a hard copy of the controlled print to send to the selected recipient, choose how you would like to print the hard copy:

    Print MethodDescription
    Print Using ServerSends the controlled print to the network printer selected in the Server Print Options section. The available printers are configured by your Business Administrator.
    Print Using Local MachineSends each file of the controlled print to a new tab or window in your web browser. You can use your browser's Print dialog box to print the file on a printer available to your local computer.

    Printer Name

    Only available if Print Using Server is selected as the print method.

    If you selected Print Using Server as your hard copy print method, use the drop-down list to select the name of the network printer on which you want to print a hard copy of the controlled print.
    Set As Default

    Only available if Print Using Server is selected as the print method.

    Select the check box if you want to use the printer shown in the Printer Name field as your default printer for printing hard copies of controlled prints.

  3. Select the files associated with the released controlled document that you want to include in the controlled print.
  4. Click Done.

The selected files of the released controlled document are each printed to a PDF file. If you did not opt to print a hard copy, each PDF file is downloaded to a new tab or window in your web browser. If you opted to print a hard copy, each PDF file in the controlled print is sent to the selected network printer.
