The app tracks the reason that the controlled print was created, who created it, when it was created, who it was issued to, the unique Print Number assigned to it, and the name of the file from which it was created. The Document Center Administrator (DCA) creates and issues controlled prints to specified users and external contacts. When the DCA creates a controlled print, the selected files of the released controlled document are each printed to a PDF file. Each controlled print has specified footer (and optionally, a header) that indicates that the PDF file is a controlled copy of a released document. Each controlled print's unique Print Number is included in the page footer. The last page of the controlled print contains an Approvals table that specifies who approved the released controlled document, the date on which it was approved, and the name of the approval task that was completed. If the DCA does not opt to print a hard copy of a controlled print, each file in the controlled print is automatically downloaded to a new web browser tab or window on the DCA's local computer. These files can be printed using the web browser's Print command. If the DCA opts to print a hard copy of a controlled print, each PDF file of the controlled print is sent to the selected network printer (the Print Using Server option) or to a new web browser tab or window (the Print Using Local Machine option). When a new revision of a controlled document is approved and released, users who were issued controlled prints of the previously-released controlled document are notified by email so that they can contact the DCA to get a controlled print of the newly-released controlled document. The DCA can recall a controlled print if it was issued to the wrong person or if the controlled document from which it was created becomes obsolete. Users who were issued controlled prints that have been recalled by the DCA are notified by email and must acknowledge the recall of the controlled print and stop using it immediately. The Recall Status for the controlled print is Initiated until the user to whom the controlled print was issued acknowledges the recall. Once the user acknowledges the recall, the Recall Status for the controlled print is Recalled. The DCA can manually acknowledge the recall of a controlled print for external contacts, since they do not have access to the app. |
