Document Template Properties Page

You can view the properties for a document template. The Properties page includes the list of files checked into the template.

To access this page, open the required document template. For more information, see Opening a Document Template.

Note:

Important: This app stores personal data in some settings. To follow good personal data management practices, Business Administrators might need to edit these settings to remove personal data, such as names, email addresses, and phone numbers.

This page also includes a list of all files checked into the template.

Field NameDescription
TypeThe type of document that will be created based on this template (usually a Quality System Document).
NameThe name of the template (usually an automatically assigned name).
RevisionThe revision level of the template.
TitleA descriptive title for the template.
PolicyThe policy that governs the lifecycle of the template (usually a document template).
StateThe current lifecycle state of the template:

ActiveDocuments can be created from the template.
InactiveThe template is being defined or revised, or is obsolete and documents cannot be created based on it.

OwnerThe person responsible for the template.
Responsible OrganizationThe organization responsible for maintaining the template.
DescriptionA description of the purpose of the template.
Document Auto-naming Optional or Mandatory.
Training EnabledIndicates whether training is enabled on all quality system documents created from the template.
Periodic Review:
Periodic Review EnabledIndicates whether documents created from this template must undergo periodic reviews by the Subject Matter Expert.
Periodic Review Interval (In Months)If periodic review is enabled, the interval between reviews.
Subject Matter ExpertThe person responsible for periodic reviews of this template.
Attribute Group name sectionEach attribute group associated with the document template has its own named section. The attribute groups are listed alphabetically. All attributes in the attribute group are listed alphabetically, with their values, if defined, for this document template.

Upload/Check In Uploads new files, or checks in files you previously checked out.Collaboration and Approvals User's Guide: Documents and Content
Delete This Version Deletes the current version of the selected file, Click OK to confirm. You can only delete files in the Preliminary state.

You can only delete the version of the file if you are the Document Center Administrator of the responsible organization or the Subject Matter Expert for the document.

Delete All Versions Deletes all versions of the selected file, including the latest version. Click OK to confirm.

You can only delete files that are in the Active state. You can only delete the file if the document template is in the Inactive state and you are one of these people:

  • The document owner
  • A Document Center Administrator of the responsible organization

Detailed Report Creates a consolidated report that summarizes the important characteristics of the document. The Detailed Report opens in a new browser window.Detailed Report

Activate/Deactivate Toggles the template between the Active and Inactive states.
