Assigning Actions

Using E-Notes, you can organize your daily activities and assign them to team members or collaborating teams.

You can then display the Leanget in a Live Meeting. For more information, see Running a Live Meeting.

On premises only: The creation of tasks in Collaborative Tasks is only available with the On Premises version.


Before you begin: Add the Action Log leanget to a Board. For more information, see Add Leangets.
Important: Only one Action Log is supported per account, that is, you can only have one across all your 3DLean boards.
Note: You can add actions from any Leanget. They automatically appear in the Action Log Leanget. Deleting an action from the Action Log leanget also deletes it from other leangets. However, deleting an action from other leangets does not delete it from the Action Log leanget.

Leanget Specific Commands
  1. Open the Action Log leanget.
  2. Tap Tools and create an Action.
    The action appears in the Waiting section of the Action Log. The corresponding task is automatically created in Collaborative Tasks.
    Tips:
    • Use one E-Note per action.
    • Use colors and stickers to organize your actions by priority, type, or assignee.
    • Tap then tap to sort your actions by assignee (firstly) and E-Note color (secondly).
  3. Edit the action:
    1. Tap the action, then tap to open the Edit menu.

      Note: Alternatively, double-click the action to open the Edit menu.

    2. Type a title for the action.
    3. Tap the Properties tab to display information about the task corresponding to the action.
    Tip: The content you enter using the keyboard is automatically filled as Description in the corresponding task.
  4. Add context to the action:
    1. Tap the action, then tap .
    2. Optional: Add annotations using the tools on the right side of the leanget.

      Note: The annotations are visible on the context capture only.

    3. To capture the action within the leanget, tap , tap , then tap in the lower-right corner of the screen.
    4. Tap the action, then tap to open the Edit menu.
    5. In the Context tab, tap the image to zoom in and out the capture.

    Tip: Alternatively, drag an image directly from your file explorer and drop it into the Context tab.

    The capture is added to the action as Context, and attached to the corresponding task. A paperclip displays on the action.
    Note: You can display only one context at a time: making another capture or uploading an image replaces the previous one. Click to open the Documents panel and reload an existing context.
  5. Add information to the action:
    1. Tap the action, then tap to open the Edit menu.
    2. Tap the Sketch tab and add information using the pen or the keyboard .
  6. Assign the action:
    1. Tap Tools , then tap Team.
    2. Drag a team member or a collaborating team to the action.
    Tips:
    • To change the assigned team member, drag another profile picture to the action.
    • To delete the assigned team member, open the Edit menu by tapping , then hold the picture. Tap again to confirm the deletion.
    • If you assign the action to a collaborating team, the symbol appears to identify this action as sent. It appears on the other team's Action Log, and you can no longer manage it on yours.
    • If another team assigns an action to yours, the action appears on your Action Log with the symbol to identify it as received.
    • To track the completion of a sent action, select the Action Log Auto Refresh option in the widget preferences. The action is automatically repositioned on your Action Log every time the other team moves it on its Action Log. If the Action Log is opened, content is refreshed every 30 seconds. If the Action Log is closed, content is refreshed every 5 minutes.
  7. To select a completion date, drag the action to a time section:

    • Today
    • Tomorrow
    • This week (7 days from the current date)
    • Next (on the first day of the following month)

    The completion date is automatically filled as the estimated finish date in the corresponding task.

    Important: Time rules may be different in 3DLean and in your collaborative space. This can create inconsistencies between dates in the app and in the collaborative space. For more information, contact your Administrator.

  8. Once the action is completed, drag it to the Done section.
    The action is marked with .
    Notes:
    • When another team completes a sent action, the action automatically appears in the Done section of your Action Log, marked with .
    • When another team deletes a sent action from its Action Log before completing it, the symbol disappears and you can manage the action again on your Action Log.
    • To reopen a resolved action, drag it back to either of the other sections according to its status.
  9. Optional: To delete all actions in the Done section, tap Select then hold Delete .
    Tip: To automatically delete done actions, specify the Remove completed actions after X days option in the widget preferences.
