Creating Documents

For a Project Management or Product Development project, you can create a Services Document or Services Specification as a deliverable to a task for a services project. For a Business Initiative project, you can create those types of documents or a Business Document. You can also create a Services Specification on the Specifications tab or a Services Document on the Reference Documents tab on the Content category for a Services Product.

  1. To create a deliverable document for a task:

    1. Open the required task.
    2. In the navigation pane, click Deliverables.
    3. Click Actions > Create New, and select the type of document you want to create: Services Document, Services Specification, or Business Document.

    To create a Services Specification for the Services Product:

    Required license role: Services Product Manager, Services Product Developer

    Required access role: Leader

    1. Open the required Services Product.
    2. In the navigation pane, click Content.
    3. Click the Specifications.
    4. Click Actions > Create New > Services Specification.

    To create a Services Document for the Services Product or Services Item:

    Required license role: Services Product Manager, Services Product Developer, Services Product Contributor

    Required access role: Author

    1. Open the required Services Product or Services Item.
    2. In the navigation pane, click Content.
    3. Click the Reference Documents.
    4. Click Actions > Create New > Services Document.

  2. Enter the following details:

    Field Name Description
    Name Type a name for the document or check the AutoName box to have the system assign a name.
    Type To select a document type other than the one shown, click and select the type. If you are creating the document from the Content category for a Services Product, you cannot change the type.

    Depending on the type you select, some fields might be removed from the dialog box and others may be added.

    Policy You cannot change the policy. The policy is pre-selected based on the document type. A Services Specification can only use the Services Specification policy. A Services Document or Business Document can only use the Services Document policy.
    Document Classification Select a classification for the document. Your Administrator defines the available classifications.

    When creating a Services Specification or Services Document in the Content category for a Services Product, the list of document classifications only includes those allowed for the product classification for that Services Product.

    Title Type a title for the document. If you do not enter a title, the app copies the Name to this field.
    Description Type a description of the document.
    Access Type Choose which type of access to use:

    Option Description
    Specific Access to the document is defined on the Sharing category for the document.
    Inherited Access to the document is inherited from the parent object, either the task it is a deliverable for (which likely inherits access from the project) or the Services Product.

    Change Controlled Only shows when creating a Services Specification or a Services Document.

    Select True or False. When True, requires the release process of the Services Specification to be managed by Change Management. You cannot promote the document to the Draft state unless it has been added to a Change Order. For more information, see Change Control for Services Products, Services Specifications, and Services Documents.

    You must have the Services Product Manager license role to set this attribute.

    Language Click to select the language that the document is written in.

    If the required language is not listed, your Administrator must activate it.

    Disclosure Select who this document can be disclosed to:
    • Public
    • Internal
    • Sensitive
    • Blank
    Objective Only shows when creating a Services Specification.

    Type the purpose of the document.

    Notes Only shows when creating a Services Specification.

    Type any notes that may help others reviewing or using this document.

    Synopsis Only shows when creating a Services Specification.

    A brief description of the document.

    Investment Only shows when creating a Business Document.

    The expected investment, including the currency type, to develop the Services Product defined by this document.

    Revenue Only shows when creating a Business Document.

    The expected revenue, including the currency type, to be generated by the Services Product.

    Target Date Only shows when creating a Business Document.

    The target date for when the product will be available for marketing.

    Priority Only shows when creating a Business Document.

  3. Click Done.

    When ready, upload a file to the document. Use the Files category for the document. For more information, see Uploading Files.
