About Services Documents

Leader, Author, and Contributor users can work with the content types used in Services Management.

Services Management lets you can mange the Services Specifications, Services Documents, and Business Documents related to a Services Product or services project, and reference documents related to Services Items.

Types of Services Documents

When creating a deliverable for a task, you can choose any of these types of documents for that deliverable:

  • Services Specification
  • Services Document
  • Business Document

For a Project Management or Product Development project, you can create a Services Document or Services Specification. For a Business Initiative project, you can create those types of documents or a Business Document.

Services Specifications can then be found in the Product Specifications tab and Services Documents can be found on the Reference Documents tab of the Content category for any product that defines that project as a governing project. (For more information, see Deliverables for a Task.) If a Services Product does not have a governing project defined, you can create these documents directly on those tabs.

Business Documents only show on the task deliverables list, but you can attach them to the Reference Documents tab on Content category for Project Task. In addition, users with the Services Product Business Metrics or Review and Approve license roles access Business Documents, and edit some of the attributes for Business Documents.

Document Properties

Services Management uses the view and edit pages provided by Collaboration and Approvals, with the additional fields described in this table. To edit these properties, you must own the document or have the Leader access role.

Releasing and Revising Services Documents and Services Specifications

You can use the Change Management tools to manage the release and revision process for Services Documents and Services Specifications by setting the Change Controlled attribute to true. Under change control, the Services Document or Services Specification must be added to a Change Order before it can be promoted.

You use the Change Management category for the Services Documents and Services Specifications to create the Change Order. You must have the Leader access role and the Services Product Manager license to create a Change Order. When you add a Services Document or Services Specification to a Change Order, Change Management creates a Change Action for it. You can also create a Change Order from the Add menu and later add Services Documents and Services Specifications to it.

If a Services Document or Services Specification is under change control, you can only edit its properties in the Create state. After you promote the item to the Draft state, it cannot be edited and you must follow the change order and change access process defined by Change Management.

Revising Business Documents

Business Documents can be associated with impacted business units. If you revise a Business Document, the list of impacted business units is not retained in the revision. For more information, see Impacted Business Units.

Canceling Content

Only the owner of a document can cancel that document. You can cancel the document in the Create, Draft, and Review states, but once the Services Document or Services Specification is released, you cannot cancel it.

Content Effectivity

You can define the effectivity for any Services Specification, reference document, or Business Document. For more information, see Content Effectivity for Services Products.
