Route Tasks

You can list route tasks that you are assigned to in the Collaborative Tasks app. You also have the ability to change attributes and move route tasks through their lifecycle states.

List Route Tasks

Route tasks created in the Project Management app appear in the Collaborative Tasks app when the route is started. You can view only route tasks assigned to you.

  1. Set the view to Assigned to me.
    Note: Except for any route task naming conventions you might use, routes may look the same as any other task when viewed as cards on the task board.
  2. To view route task details, click the route task card.

Change Route Task Details

You can change some of the details for a route task.

  1. Click or tap on a route task card to open its details. Or click Properties. Scroll down to view all details. Click More to see additional fields.
  2. View or change these details.

    Note: If a route task is assigned to a user group that contains the current member, that route task is uneditable except when a member assigns the route task to himself. When a user assigns a route task to himself from a user group, it is editable like any other route task assigned to that user.

    Field NameDescription
    TaskThe title of the task. Read-only.
    Route The route containing the task. Click Open With to view the route in the Route Management widget. Read-only.
    Content The task content, which may have more than one object. Click an object name to view its properties.

    To add content, drag a file to this field or enter a name. Click to select it from your file system. To add another object, click inside the field or click . Type-ahead is available.
    State The current state of the route task. For a task that "needs review" the states are "To Do," "In Review," and "Completed." There is no "In Review" state for tasks not needing review.

    You can change the state on the properties panel or by dragging and dropping the route task card across the Status columns. Attempting to change to a state that has other requirements such as approval comments produces an error message if those conditions are not met.
    Due Date The task due date. Modifiable when the route's "edit due date" is "true." Otherwise, read-only.
    Assignee The task assignee. Editable if the route is defined with "allow delegation." Only one assignee is possible.
    Expected Actions The expected action for the assignee. The value is "Approve" or "Comment." Read-only.
    Instructions Any task instructions for the assignee. Read-only.
    Decision Displays only if the "Expected Action" is "Approve." When visible, its values can be "Approve," "Reject," "Abstain" or empty.
    Comments The approver's or reviewer's comments. This field's visibility is controlled by the following property: emxComponents.Routes.ShowCommentsForTaskApproval. If set to "false," the field does not display.
    Needs Review Set during the route and route task creation. Read-only.
    Collaborative Space The Collab Space in which the task resides. Read-only.
    Originator The person who created the route task. Read-only.
    Owner The owner of the route task. Read-only.
    Created The date on which the task was created. Read-only.
    Modified The date of the last modification. Read-only.

    After you click Save, the task details panel collapses to show the task card.

  3. To view or change the task details, click the tabs or icons:
    TabDescription
    People See People.
    Comments See Comments.
    Approves the route task. See Approve a Route Task.
    Assign to Self Assigns the route task to you if you are not already assigned to this task and the task in not in the Completed state.
    Complete Sets the maturity state to Completed.
    Delete Deletes the route task.

People

You can work with assignees and view the task originator and owner.

  1. Click People.
  2. Work with these fields:

    Field Name Description
    Assignees One or more people assigned to the task. Click to search. Filter the search results using tags . You can also search for people from the global toolbar and drag from the results. See Drag and Drop.

    To add another assignee, click inside the field or click . Type-ahead is available.

    Originator The creator of the task.
    Owner The owner of the task.

Approve a Route Task

You can approve a route task assigned to you.

  1. Click in the top bar of the properties.
  2. Click one of these options:

Set Electronic Signatures

You can configure a route template that mandates the use of electronic signatures for approval tasks.

The Business Administrator can define electronic signatures as required for all approval tasks, not required for any approval task, or to use the e-signature option declared in the route template. An Administrator can configure E-Signatures in E-Signature Management in the Collaborative Spaces Configuration Center.

A route template creator can opt to make e-signature authentication mandatory for all routes created using the route template. You select the "Approval with Signature" option when creating a Route Template of the type Approval or Standard. Then all task approvals of the routes created by using this route template will require ESIGN authentication. ESIGN authentication supports two-factor authentication on both on-premises and on cloud.
