Sharing Page

Many objects can be with other users with specific access controls. Not all objects include the Sharing page.

You can:

  • Modify the shared permissions for a user or collaborative space/organization combination
  • Share the content with a user or collaborative space/organization combination
  • Remove a user or collaborative space/organization from the list

Any user who leaves an organization or collaborative space relinquishes all access they had to objects they owned while a member of that organization or collaborative space. The user is still shown as the objects' owner although their access is the same as other outside users.

For a document: If you use the properties page to transfer ownership of the document to another person, the accesses on this page are not updated. The original owner, who created the document, still has full access. The new owner has all standard access for the document owner plus any access defined on this page.

To access this page:

  1. View the content for a object.
  2. In the navigation pane, click Sharing.

You also use this page when using the wizard to create a Bookmark Root.

Columns

Column Name Description
Type Shows who the access applies to:

Value Description
Person An individual person.
User Group A user group - all persons that belong to the user group have the shown access.
Credential A combination of organization and collaborative space. Any user that belongs to the same combination has the indicated access.

Organization Lists the organizations.
Collaborative Space / User / User Groups Lists the collaborative space or name of the person.
Access

Different access levels can be granted to different objects. Commonly used access levels are listed below.

A general description of the access that is allowed by each access level is provided below. Note that these access levels may allow different access to some objects.

N/A Can Add / Remove Attachments Can add and remove files from the Bookmark or Bookmark Root, but cannot make any other changes.

Bookmark Root related objects include these objects:

  • Bookmark Root
  • Bookmark
  • Bookmark Root Template
  • Documents governed by the Document Release policy

Inherited From If the access is inherited, the name of the parent object. For example, a Bookmark can inherit access from a Bookmark Root.
Inherited Access The type of access that was inherited. You can edit the Access field to add additional access.
Comments Description of the access for this line.

Actions/Toolbar Commands

The page assigns Read access as a default when you add a person or credentials to the object.

Share with Users Search and select people.

For a Bookmark, you must own the folder or have Can Manage access.

About 3DSearch Queries
Share with User Groups Search and select user groups. All people in selected user groups receive the specified access level.

If a person is removed from a listed user group, that person loses their access.

Share with Collaborative Space Members Search and select combinations of organizations and collaborative spaces. The search results include all collaborative space/organization combinations defined on the platform.

Users who have a matching collaborative space/organization have the access specified in the Access column.

For baseline behavior: this action is not supported for a Bookmark Root or Bookmark.

About 3DSearch Queries
Remove Access Deletes access to the selected person, user group, collaborative space/organization combination; click OK to confirm.

You cannot delete the access for your active credentials.

Enable Edit / Disable Edit

Toggles between view and edit mode. In edit mode, you can edit the access levels.

Not available for the Sharing page for a project task.
