Creating Bookmarks

The Bookmark Root owner and designated Bookmark Root members can create additional Bookmarks and Sub Bookmarks as required.

When creating a Bookmark for a Bookmark Root, you can choose to add an existing Bookmark. For example, if a Bookmark exists in another Bookmark Root, you can also include it in this Bookmark Root. Another way to create Bookmarks and Sub Bookmarks is to clone the structure of an existing Bookmark or Sub Bookmark; see Predefined Queries.

Important: Bookmarks created from Collaboration and Approvals do not follow the baseline sharing rules (for more information, see About Sharing Content). Anyone with access to the Bookmark can add content to that Bookmark depending on their access to the content and the sharing defined for the Bookmark. Users with the Leader or Contributor access role can share content of the Bookmark.

If you want to enforce baseline sharing rules for Bookmarks, use Bookmark Editor to create them.

Required access roles:

  • Baseline: Contributor

About Bookmarks
  1. Click Create Bookmark from the page Actions menu.
  2. Enter these details:

    Field Name Description
    Title Enter a title for the Bookmark. Top-level Bookmarks within a Bookmark Root cannot have the same title.

    Or, to add an existing Bookmark, click to select a Bookmark from a list of predefined Bookmarks. If no predefined Bookmarks exist, browse is unavailable.

    Description Enter descriptive text about the purpose of the Bookmark.
    Inherit Access Choose an option:

    Option Description
    Yes The Bookmark inherits access from its parent object. All members of the Bookmark Root become members of the Bookmark. The access type of the Bookmark is Inherited.
    No The Bookmark does not inherit access from its parent object. None of the members of the Bookmark Root (listed on the Sharing page) are automatically added to the Bookmark. You can manually add members and assign access levels, however, you can only add users who are members of the parent Bookmark Root or Bookmark. The access type of the Bookmark is Specific.

    For baseline behavior, primary ownership has all access on the Bookmark. That is, users who belong to the object's collaborative space and organization have all access to the Bookmark. Access is also restricted based on the user's access role (Author, Reader, and so on).

    After you create a Bookmark, you cannot edit this field.

    Publish on Connect Choose an option:

    Option Description
    True When an item is added to the Bookmark, promotes the item to its published state.

    This occurs for items added to the Bookmark using the Copy, Move, or Add Existing menu or toolbar commands.

    False No promotion is executed for items added to the Bookmark.

    The published state depends on the policy that governs the type. Not all items have a defined published state.

    Note: This option is not recommended to be used on cloud platforms.

  3. Click Done.

    If you selected No for Inherit Access, add members to the Sharing page. See Sharing Page.
