Creating a Bookmark Root Using the Wizard

The wizard guides you through entering basic information, specifying top-level Bookmarks and Sub Bookmarks, and adding members and defining access.

Entering Basic Information for a New Bookmark Root

  1. View the Bookmark Root page. For more information, see Bookmark Root Page
  2. Click Bookmark Root Wizard .
  3. Enter these details:

    Field Name Description
    Title Enter a short, descriptive title. Do not use a title that has already been used for a Bookmark Root created for your company.
    Template Click to select a Bookmark Root Template. You can choose from the Bookmark Root Templates you own or that have Enterprise scope.
    Description Enter the intent or purpose of the Bookmark Root. For example, specify the type of content the Bookmark Root will manage.

  4. Click Next.

Creating the Top-Level Bookmarks for the Bookmark Root

  1. Complete the steps above.

    If you selected a Bookmark Root Template that contained top-level Bookmarks, they show on this page. You can add to or remove any of these Bookmarks.

  2. To add an existing Bookmark or create a Bookmark for the Bookmark Root, select Create Bookmark . See Creating Bookmarks.
  3. To remove a Bookmark:
    1. Select each Bookmark you want to remove.
    2. Click Delete from the page Actions menu.
    3. At the confirmation message, click OK.
  4. Click Next.

Adding Sub Bookmarks to a Bookmarks

  1. Complete the steps above.

    If based on a Bookmark Root Template that contained Sub Bookmarks, they are shown on this page. You can add to or remove any of these Sub Bookmarks.

    A Sub Bookmark contains documents and other content that are grouped within a Bookmark. You can create Sub Bookmarks if you anticipate that a Bookmark will have a lot of content that can be logically grouped into more than two sets. If you do not want to add Sub Bookmarks, click Next.

  2. To create a Sub Bookmark, click the button for the Bookmark, then click Create New from the page Actions menu or toolbar. For more information, see Creating Sub Bookmarks.
  3. To remove a Sub Bookmark:
    1. Check each Sub Bookmark you want to remove.
    2. Click Remove Selected from the page Actions menu.
    3. At the confirmation message, click OK.
  4. Click Next.

Sharing the Bookmark Root

  1. Complete the steps above.

    The wizard uses the Sharing page to add people (members), organizations, projects, or credentials to the Bookmark Root. See Sharing Page.

  2. To add or remove members to or from the Bookmark Root, use these commands in the Actions menu:

    Action Name Description For More Information
    Share with Users Searches and selects people to add to the list of those who can access the object. Predefined Queries
    Share with User Groups Searches and selects user groups to add to the list. All people in selected user groups receive the specified access level.

    If a person is removed from a listed user group, that person loses their access.

    		Predefined Queries
    Share with Collaborative Space Members Searches and selects combinations of organizations and collaborative spaces to add to the list. The list includes all collaborative space/organization combinations defined on the platform. It does not add the role component of the credentials.

    Users who have a matching collaborative space/organization have the access specified in the Access column.

    Remove Access Deletes access to the selected person, project, organization, or credentials; click OK to confirm. --

    The page assigns Read access when you add a person, project, organization, or credentials to the object.

  3. Click Enable Edit .
  4. Specify an access for each person, organization, project, or combination of organization and collaborative space from the list on that row. See About Bookmark Root and Bookmark Accesses.
  5. Click Submit.
