People Page

The People page lists the people in a company, subsidiary, business unit, department, or plant.

Required access roles:

  • Baseline: Administrator, Owner
  • App-specific: Organization Manager, Buyer Administrator, Company Representative, Advanced Quality Engineer, Buyer, Supplier Development Manager, Supplier, Supplier Representative, Supplier Engineer

To access this page:

  1. Open the required company, subsidiary, business unit, department, or plant. See Opening a Company, Subsidiary, or Business Unit, Opening a Department, or Opening a Plant.
  2. In the navigation pane, click People.

Columns

Column Name Description
Full Name The person's first and last name. Click to view the Properties page for that person. See Person Properties.
Name The person's user name.
Employee Displays "yes" if the person is an employee of this organization, or "no" if they just have access role assignments within this organization.
Email The person's email address. If specified, all messages for the person are also sent to the email address. The app also sends email notification to people whenever their email is changed and when they are first registered.

You can click the Email address to create an email message addressed to that person. Your email program opens with a new message created and the person's email address entered in the To box.

State To successfully log into the system, a person's state must be Active. A person's state should be changed to Inactive if they should no longer have access to use the system.
License Type The type of license for this person:
  • Full: unlimited
  • Casual: 40 hours per month
All licenses for a user must be either full or casual. You cannot mix full and casual users for a specific user.
Organizational Roles Lists the roles the person is assigned to within this organization, and the roles available to be assigned.
Lead Roles Lists the lead roles the person is assigned within the organization.
Edit

Click to edit organizational roles for the person (add or remove roles for this person within this company, business unit, department or subsidiary).

If you want to assign additional roles to the person or completely remove a role from them, edit their role assignments. See Editing a Person's Access Roles.

If Engineering BOM Management is used, any organization that will be assigned change responsibility must have one or more persons assigned as lead roles for ECR Chairman and ECR Coordinator. When assigning a lead role, if the lead role was previously assigned, the lead role is removed from the previous person and a warning message is issued. If you uncheck the box in the Assigned as Lead Role column to unassign a lead role, a warning message is issued instructing you to choose another person for the lead role.

Use the check box to add or remove that role for the person. Click Done when finished.

You can click to view the Properties page for the person in a separate window.
Attributes The type of login access: Standard or Secure ID (includes a pin number and number from a key fob).

Actions/Toolbar Commands

You must have the Administrator, Organization Manager, or Company Representative access role to perform these actions.

Action Description For More Information
Create New Creates a user.

Although available, you should not use this command to create users. Instead, you should use the Members Control Center to invite users.

Members and Roles
Add Existing Adds a user to an organization and give them specific roles within that organization. Select the required users.
Note: You can add users who are not employees to the company, defining the roles the user performs for the company. This provides security on objects based on a role within a specific company.

Check the roles you want to assign to this person for the specific company, subsidiary, business unit, department, or plant. Select or clear the All Roles check box to select all roles listed for the person.

Click Done when finished.

Predefined Queries
Remove Removes selected persons, click OK to confirm. When you remove a person, the person definition remains and the person is active to do work; however, the person is no longer connected to the organization. -
Activate For inactive persons, changes their states to active. -
Deactivate For active persons, changes their state to inactive. -
Resource Loading

Generates a resource loading report for the checked person. This option is only available if Project Management is used.

You must have the Leader, Project Lead, External Project Lead, Company Representative, or Organization Manager access role.
