Route Template Properties

This page lists information about any route template listed on your Route Templates page.

To access this page:

  1. Open the required route template. See Opening a Route Template.
  2. Click the Name of the template.

Fields

Field Name Description
Name The name assigned by the person who saved the template.
Revision The revision number for the template. Each time a template is updated and saved, the system increments the revision number.
State Draft or Released. Templates in the Draft state cannot be used to create routes. Templates in the Released state cannot be edited.
Owner The person responsible for the template.
Originator The person who saved the template version.
Start Route On Completion Defines the route template to use to start a linked route when routes created from this route template complete. For more information, see Linking Route Templates.
Start Route On Completion Action Defines the completion action for the route started from the template selected for Start Route On Completion. Possible values:
  • Notify Only
  • Promote Connected Objects
Availability
Important: Availability is no longer used to determine who can access the route template. The credentials of the route template (owning organization and collaborative space) determine if a route template displays in search results for a user. That is, the user must belong to the same organization and collaborative space to use a route template. Any value entered in this field does not affect whether a specific user can access the route template.
Scope Defines who can be included in routes created from this template: All, Organization, or members of the specified Bookmark Root.
Originated The date the template or template revision was created.
Description A summary of the purpose of the template.
Route Task Edits Defines how people who create routes based on the template can edit the task list.

Option Description
Maintain Exact Task List People who create a route from this template must use the exact task list. They cannot add or remove tasks, and then cannot modify the Task Title, Assignees, or Order of any task.
Extend Task List People who create a route from this template must use the exact task list, and can add tasks to an existing route task order or a new order number.

The types of edits that can be made to tasks depends on if the task is created from the template or manually added to the route:

  • Tasks created from the template:
    • The route creator cannot remove the tasks or modify the Task Title, Assignees, or Order
    • The route creator cannot remove any route members who are assigned to template tasks
  • Tasks manually added to the route:
    • The route creator can add, remove, and modify details (Title, Assignees, Order)

Modify Task List People who create a route from this template can add new tasks.

The types of edits that can be made to tasks depends on if the task is created from the template or manually added to the route:

  • Tasks created from the template:
    • The route creator cannot remove or modify the Task Title, but can change Assignees and Order
    • The route creator cannot remove any route members who are assigned to template tasks
  • Tasks manually added to the route:
    • The route creator can add, remove, and modify details (Title, Assignees, Order)

Modify/Delete Task List People who create a route from this template can add and remove tasks and modify the task list in any way. The route creator can add and remove route members, and can modify the Title, Assignees, and Order for all tasks.

Route Base Purpose Determines which task actions are included in the route template.
  • Standard. Can have several task actions.
  • Approval. All task actions are defined as Approve.
  • Review. All task actions are defined as Comment.
Auto Stop on Rejection Determines what happens when a task in the route is rejected:
  • Immediate. The route stops immediately.
  • Deferred. The route stops after other tasks at the current level are completed or rejected.
Revert User Group(s) Assignment Determines what happens when restarting or resuming a route when a person from a user group has accepted a task:

Option Description
Retain person assigned when restarting/resuming a Route The same person who accepted the task is assigned the task when the route continues.
Reset to the original User Group(s) when restarting/resuming a Route The task is reassigned to the user group and can be accepted by any one in that user group.

Select User(s) from User Group(s)

When a user group is a task assignee, determines if anyone in the user group can complete tasks, or if a specific person from the user group must be selected as the task assignee. When set to Yes for the template, you can unselect the option for specific tasks.

Option Description
No The user group can be a task assignee when the route is started.
Yes A specific person must be selected from the people in the assigned user group as the task assignee prior to starting the route.

Approval With Signature

Mandates the use of e-signature authentication for routes created using this route template.

Option Description
No E-signature authentication is not required for task approvals for routes created using this route template.
Yes E-signature authentication is required for task approvals for routes created using this route template.

Actions/Toolbar Commands

Action Description
Edit Details Only shows for Inactive templates.

Edits the properties. Only the current template owner can edit the template properties, and Bookmark Root owners can edit any Bookmark Root level route template for their Bookmark Roots.

If the route template is linked to from another route template, you cannot inactivate it for editing. You must remove it from the "Start Route on completion" field for any route template that references it.

You must have the Leader or Administrator access role.

Revise Route Template Only shows for Active templates. You cannot edit an active template; you must create a new revision to make any changes.

Creates a new revision of the route template. You can only revise the latest revision of the route template. Only the current template owner can revise the template, and Bookmark Root owners can revise any Bookmark Root level route template for their Bookmark Roots.

Activate/Deactivate Changes the state of the route template (toggles between the active and inactive states).

You can only deactivate a route template if no routes have been created from it.

If you want to edit the route template, create a new revision of the template and edit it as required prior to activating it.

If the route template is linked to from another route template, you cannot deactivate it. Linked means that this template is listed as "Start Route on completion" for another route template. If you need to deactivate it, remove it from that other route template (which might require you to create a new revision of that route template).

Transfer Ownership Selects another person, organization, or collaborative space as owner of this route template. For more information, see Moving Content (Transferring Ownership).
