Content List for a Bookmark or Sub Bookmark

Anyone with Read access to a Bookmark or Sub Bookmark can list its content.

A Bookmark or Sub Bookmark can contain documents and, possibly 3D JT files. If your system includes Engineering BOM Management, Bookmarks and Sub Bookmarks can contain Parts.

If your system includes RFQ Management, Bookmarks and Sub Bookmarks can contain RFQs, packages, and quotations.

Required access roles:

  • Baseline: Reader
  • App-specific: All

To access this page:

  1. Open the required Bookmark. See Opening a Bookmark.
  2. In the navigation pane, click the name of the Bookmark.

Columns

The page lists only the version of documents and the revision of nondocument items that are connected to the bookmark.

Column Name Description
Name Click the name to open about the content. For documents, see Document Properties and Files Page.

If your system includes Bookmark Editor, you can drag the name of a part to the name of another part to make the first part a child of the second part.

Shows a thumbnail version of the primary image for the item.
Title The title of the content item.
Type The content type, such as Document or Part.
Rev The revision number for the item, if the item is revisionable. Only nondocument items have revision numbers. The content page lists only the revision of an item that is connected to the bookmark. Click to view the Revisions page for that document object. See Document Revisions Page.

If any content is revised, the original revision is retained in the bookmark. The new revision is created, but is not connected to the bookmark.

Ver The version number for the document. Only documents have version numbers. Click to view the list of versions of that document. See File Versions Page.
Actions The actions you can perform on the listed content. If an icon is not displayed, then the item's status does not allow the action.

Subscribe View and select subscriptions. See Subscriptions.


View Files View the file in the program associated with the file's extension, including 2D and 3D viewer programs.


Download Download one or more files to your local machine. Browse to the directory or folder you want to contain the file. Multiple files are downloaded in a single zip file.


Check Out and Lock Check out one or more files to your local machine and lock the files from other users who cannot unlock it. Navigate to the folder or directory you want to contain the file. Cannot be used with 3D files.


Update Files Update a file to its next version. See Uploading Files.


Add Files Check in and unlock one or more files. See Uploading Files.


Unlock Unlock the file without checking in a new version.

If a document contains multiple files, you can check out a subset of those files. If you later click , a message displays indicating that some of the files are already checked out. You can proceed to view the document's file list to check out any of the files not already checked out, or cancel the checkout.

If you checked out a subset of files and click , the app opens the check-in dialog box with the files you previously checked out.

Number of files locked / number of files checked into this document. For example, 2/4 indicates 2 files of the 4 files checked into this object are locked. If a file is locked, you can still view it and save it to your computer.
If the icon shows in the row, the item is included in an active route. Route members with Write access to the document can edit the document from the route, but not from the Bookmark. (Your system could be set up to allow content to be included in multiple routes.) See Routes.
Description A description of the content.
State The current state of the content.
Click to open the item in a separate window.

Actions/Toolbar Commands

Action Description For More Information
Add Existing Searches for and adds an existing document or allowed content type to the Bookmark. The content you can add depends on your access role and the ownership of the content.

For a Document, you must be connected to the collaborative space that owns the content and have read access to the document.

You must have at least the Reader access role.

For PLM Entity types, you can only add the content if you meet one of these requirements:

  • You own the content.
  • You have the Leader access role for the Collaborative Space that owns the content and belong to the organization that owns the content.
  • You have the Owner access role for the Collaborative Space (regardless of your organization) that owns the content.
  • You have the Administrator access role.

For a document governed by the Document Release policy, your access role and the current state of the document determines if you can add a document to the Bookmark:

  • Reader or Contributor users cannot add documents
  • Author or Leader users can add documents in any state if they own the document. In the Obsolete state, they can add documents that they do not own.
  • Owner users can add any document in any state.

Your Business Administrator can change this functionality. If your Administrator has removed the document type from the grant list, these rules apply:

  • Reader or Contributor users can add documents that are in any state other than Private
  • Author or Leader users can add documents in any state, but they must own that document if it is in the Private state.
  • Owner users can add any document in any state.

Update For any locked file, updates it with changes made on your local system. Uploading Files
Change Creates a new change object for the selected document or adds the selected document to an existing change object. Change Submenu
Remove Removes an item from the Bookmark. If a document is attached to an incomplete route (started, not started, or stopped), you cannot remove that document from the Bookmark.

You must have the Contributor access role to remove content.

For documents governed by the Document Release policy, whether you can remove a document depends on your access role and the current state of the document:

  • A Reader or Contributor can remove the document except if it is in the Private state.
  • An Author or Leader can remove the document, but they must own that document if it is in the Private state.
  • An Owner can remove any item.

Removing an Item from a Bookmark
Move Moves the selected content to another Bookmark.

After moving the content, this Bookmark continues to display. You can navigate to the selected Bookmark to work with the moved content.

Predefined Queries
Copy Links the selected content to another Bookmark. A separate copy is not created; the object is linked to both the current and the destination Bookmark so that it shows in the lists for both Bookmarks. Predefined Queries

Change Submenu

The Change submenu lets you create a new change object for the selected document, or add the document to an existing change object.

Change Request > Add To Existing Adds the selected objects to an existing change request.

Mass Release Creates a mass change order to release all of the selected objects.

The selected objects must be in a state prior to "Release" and cannot be connected to an incomplete change action. The Create Change Order page opens where you can create a change order to govern the mass change. You must use the "Fast track Change" policy.

Mass Obsolete Creates a mass change order to make all of the selected objects obsolete.
