Saving Content As a Revision

You can create a revision of an object during a save operation in long transaction mode.

You can save both modified or unchanged objects as a new revision. You cannot create a revision of a new object. You can only save references and representations as revisions.

Notes:
  • Revising a reference automatically revises its child representations. A reusable representation can be deactivated afterward independently by double-clicking it so that it is not saved with its reference. An aggregated representation cannot be deactivated.
  • You can revise a reusable representation without its reference. You cannot revise an aggregated representation without its reference.
  • Contrary to the New Revision command in Collaborative Lifecycle, saving as a revision saves all pending modifications made to attributes.

Before you begin:

  • By default, you can create a new revision from any revision. Your Administrator can modify this behavior and allow the creation of revisions from the last revision only. For more information, see Configuring Lifecycle and Collaboration Commands.
  • By default, you cannot create minor revisions. The administrator of the platform must activate Minor Revisions commands. For more information, see Configuring Access Rules.

  1. Select Share > Save > Save with Options (or use Ctrl+Shift+S).
  2. Optional: In the Save with Options dialog box, right-click anywhere in the dialog box, then click Select All.
  3. Optional: Click Zoom In .
    All the aggregated elements appear.
  4. Select the objects you want to save, and then click one of the following commands:
    • Revision to save the selected objects as revisions. To choose between the classic mode ( Revision ) and the immediate mode (Immediate Revision ), click the arrow at the lower right of the icon and select the corresponding command.

      If you are using the immediate mode, click OK to validate and close the New Revision dialog box.

    • Minor Revision to save the selected objects as minor revisions.
      Recommendation: Do not create minor revisions.
    The or revision icon is displayed in the Modification column to indicate that the object is to be revised. The revision ID is displayed in the Revision column.

    If the Applicability date box is available, it becomes activated to let you enter the new applicability date (you can also click to select the date of your choice). The Applicability date box may not be displayed depending on your setup. It is shown only when the Applicability date attribute is shown in Search results.

    Note: Objects that you selected to be saved as a revision or minor revision keep their lock owner and maturity state in the Save with Options dialog box at this step, except if you are using the immediate mode.
  5. Click OK to validate.
    The Save with Options dialog box is closed and the revisions or minor revisions are created. Their lock owner and maturity state are reset.
    Important:
    • The new revision or minor revision automatically replaces the previous content in the tree in all nodes and in all authoring tabs.
    • An error message is displayed if the object to be saved impacts either a new object or an excluded object.
    Note: You can stop the operation anytime either by clicking Cancel in the Save with Options dialog box, or by double-clicking the or icon in the Modification column. If you close the Save with Options dialog box by clicking Cancel, the list of objects to be saved is lost.

    In immediate mode, you cannot cancel the copying of content. If you validate the operation in the first dialog box, but cancels it in the Save with Options dialog box, the new content is still created in the database.
