Creating a Change Template

Only the change administrator can create change templates for other users in their business unit or company to use. Individual users can create personal change templates for their own use.

Note: It is recommended that each organization use only its own templates. Change templates contain organization-specific information such as the Change Coordinator, Approvers, and Approvers.

Required Access Roles:

  • Baseline: Leader
  • App-specific: Any user (to create personal templates), Change Administrator (to create organization templates)

Editing Change Template Details
  1. Do one of the following:
    • Click >Change > Create Change Template.
    • On the My Changes category, click the Change Template tab. From the page toolbar, click Create Change Template.

    The following information can be included. Type-ahead can be used for fields that require you to select from a chooser.

    Field Description
    Name Type a name, or click Autoname to have the system assign a name.
    Type Defaults to Change Template and cannot be edited
    Change Type Default type or subtype of change orders created using this change template
    Description Details about the change template
    Organization Click to select the business organization where the change has been raised. A Change Administrator at a Business Unit level can choose a parent organization.
    Availability Scope of the template:
    • Personal: Any user can define a personal template for their own use.
    • Enterprise: Only Change Administrators can create Enterprise templates. The Responsible Organization is set to your host company or business unit.
      Note: By default, the Enterprise availability option is not available in the 3DSpace environment. You must have either a Leader role or Change Administrator role.
      On premises only: Contact your administrator to be assigned the appropriate role.
    Owning Organization The organization that owns the change template. Disabled if the Availability is set to Personal. Automatically set to your host company or business unit if the Availability is set to Enterprise.
    • A Change Administrator at the host Company level can choose Company Name for the Owning Organization or any Business Unit or Department below the hierarchy.
    • If the Change Administrator is at a Business Unit level, the default value for Owning Organization is their Business Unit; The Change Administrator can choose their own Business Unit or an organization within it.
    Reported Against Click to select the high-level item for which the change was reported.
    External Choose an object that is external to your system and add the object as a top-level item for which the changes is requested. Select from each list to display the objects from which to choose. Your selection will appear in the Reported Against field.

    Note: This function is available only if an external change management system is integrated with the Create Change Template slide-in.

    Change Coordinator Click to select the person responsible for change assessment and completion.
    Category of Change Select the category to which the change belongs.
    Severity Select the priority of the change.
    Approvers Click to select the member list of users responsible for approving and promoting the change from the Approve to the Completed state.
    Informed Users Click to select the member list that is notified once the change releases.

  2. Click Done. The new template opens and is in the Inactive state.
  3. To enable the template to be used, promoted it to Active.
