List of Documents in a Document Family

You can view the documents in a document family and choose to download or check out files from a selected document. You can also subscribe to a selected document.

To access this page:

  1. View the list of document families in a document library. See Library Classes and Subclasses Lists.
  2. Click the Name of the document family. The documents page for the family opens.
  3. For a hierarchical structure, click Categories > Sub Document Families.
  4. Repeat steps 2-3 until you reach the required document family (or sub document family).

Columns

Column Name Description
Name The name of the document. Click to open the Files page for that document (clicking the link in the Locked column opens the list in a separate window).
The number of files in the Document that are locked / the number of files in the Document.


Route Status
If the route icon displays on a document row, that object is included in a route. Certain actions for the object may not be available until the route is complete.
Title The title of the document.
Rev The revision identifier for the document. Click to view the properties of this revision. See Document Revisions Page in the Collaboration and Approvals User's Guide.
Ver The version identifier for the object. Click to view the properties of this version. See Document Properties and Files Page in the Collaboration and Approvals User's Guide.
Type The type of document.
Actions The actions you can perform on the listed content:

Subscribe

View and select subscriptions for a document. See Subscriptions Page in the Collaboration and Approvals User's Guide.



Download

Download one or more files to your local machine. Browse to the directory or folder you want to contain the file. Multiple files are downloaded in a single zip file.



Check Out and Lock

Check out one or more files to your local machine and lock the files from other users who cannot unlock it. Navigate to the folder or directory you want to contain the file.

Tip: You can also check out a file when the document family with which the file is associated is in the Locked state.



Update Files

Update a file to its next version. See Documents and Content in the Collaboration and Approvals User's Guide.



Check In

Check in new files.

Description The description of the document.
State The current state of the document in its lifecycle.
Attribute Groups For each attribute group in the document family, this page includes a section with columns for each attribute in its group.
Click to view the list of files in the document in a separate window.

Actions/Toolbar Commands

Action Description For More Information
Download Downloads the selected document files; browse to the directory or folder you want to contain the file. Downloading a document does not lock it. You must have download access for the document family. --
Checkout Checks out a file from the document; navigate to the folder or directory you want to contain the file. Checking out a document locks it. You must have the Reviewer or Library User role.
Tip: You can also check out a file when the document family with which the file is associated is in the Locked state.

Subscribe Subscribes to events for the document. Subscriptions Page in the Collaboration and Approvals User's Guide
EDMS Document >Create New Creates new EDMS document to the document family. The Create Document page appears, where you can enter the details required.

This menu is visible only if the EDMS property key is enabled.

Note: Following pre-requisites are need to create or add EDMS document:
  • You must have the Librarian role and the Classification Manager license.
  • The document family must be in the Approved state.

An EDMS document gets connected to the document family using the existing EDMS document proxy object or a newly created one. The proxy object does not have any revisions or versions.

EDMS Document > Add Existing Adds existing EDMS documents to the document family. The EDMS Document Search page appears where you can select EDMS documents.
