Check In Dialog Box

You check in files after editing to make them available to users with appropriate rights. Until you check in a file, changes are only saved in your local cache.

To access the dialog box from Windows Explorer, select the files or folders to check in and click Actions > Check In. To access the dialog box from SOLIDWORKS, open the assembly, part or drawing to check in and from 3DEXPERIENCE, click Check In.

Certain characters that are valid in the naming convention of SolidWorks files and configuration names are not supported by ENOVIA. These characters are derived from the list provided in the server attribute IEF-UnsupportedCharacterMapping, and include, among others, the " # @ $ & % , * ? < > [ ] / \ : | characters.

If any of these characters is used within a SolidWorks file name, the files will be blocked from being checked into the ENOVIA database.

If any of these characters is used within a configuration name, it will be replaced by a special character sequence when checked into the ENOVIA database. A few examples follow:

“ will be replaced with the character sequence {22}

< will be replaced with the character sequence {3C}

> will be replaced with the character sequence {3E}

[ will be replaced with the character sequence {5b}

] will be replaced with the character sequence {5d}

$ will be replaced with the character sequence {24}

# will be replaced with the character sequence {23}

The list of Files to check in includes drawings that reference parts and subassemblies if the drawings have been checked out and are in the same folder as the parts and assemblies they are referencing.

Toolbar Buttons



Navigate all warning typesDisplays the list of message types you can navigate. This command only appears when the dialog box displays more than one type of message.
Next WarningSelects the next file with a warning. This command only appears when the dialog box displays more than one file name with a warning.
Previous WarningSelects the previous file with a warning. This command only appears when the dialog box displays more than one file name with a warning.


Override RevisionLets you override the next automatic revision number.


Explore in WebLets you log in to the web client.


Select FilesOpens the Select Files dialog box, where you can specify a wildcard pattern to select files.


Open File ListOpens the file list in Windows Excel so that you can print or save a spreadsheet containing the information.


Save File ListSaves the file list as a comma separated values file with the extension .txt.
View ModeLets you select Details or Content. Details can provide several columns of information, some of which include check boxes for you to select. Content can provide the same information in fewer columns and includes a thumbnail of each file next to the file name.
Hide PreviewLets you toggle between hiding and displaying the thumbnail.
  • Hide Preview displays at the bottom of the dialog box, the thumbnail of the selected file. Click to hide the display.
  • Show Preview hides the thumbnail of the selected file. Click to show the thumbnail display.

File List - Details View Mode

These are some of the columns available in the Details view. You can choose which columns to display.

Name

Selected files and files referenced by them. For assemblies, the list can include drawings, parts, sub-assemblies, and SOLIDWORKS simulation files.

Note: The software includes the related drawings when they are in the same folder as the part or assembly they are referencing.
Result

Result of check-in validation, which, are OK, a warning, or an error.

The error Cyclic reference prevents checking a file in. Warnings such as File not Found, Outside of 3DEXPERIENCE view, or The file is not rebuilt can block a check in if your administrator has configured blocking for warnings.

Duplicated name always prevents a check in. Files must have unique names to be checked into the database.

Outside of 3DEXPERIENCE view prevents a check in. This message occurs when the administrator has sets the Global Configuration Object SLW-CheckInBlockRemoteReferences to TRUE. (When it is set to FALSE, the system only displays a warning message.)

Note: You can click the warning The file is not rebuilt to display a list of references that require a rebuild.

Tip: To review the warnings, from the toolbar, use the Next Warning and Previous Warning toolbar commands.

Check InLets you select files for check in. If the check box for a file is inactive, the system implements a mandatory check in.
Keep Checked OutCreates a new iteration in the database, but file remains checked out.
Inc. Rev.Increments the revision level of the file.

When the revision level is incremented, iteration numbering restarts at 0.

For example, when you increment the revision level of a file that is at revision C and iteration 8 (C.8), the new revision and iteration will be D and 0 (D.0).

Remove Local CopyRemoves file from local disk after check in. The system only allows selection of a Remove Local Copy check box when:
  • You are checking in the file.
  • You are also selecting to remove the local copy of the referencing file.
  • You are checking in from SOLIDWORKS and have left unopened in the SOLIDWORKS session one or more reference files that you are excluding from the check-in.
Local Iter.The first letter/number pair is the local (cached) iteration and the second pair is the iteration on the 3DEXPERIENCE server. Also part of the iteration listing for each file is one of the following:
  • Modified - The local file is modified after retrieval from the 3DEXPERIENCE server.
  • Out of Date - The local file is out-of-date. The file on the 3DEXPERIENCE server is more recent than the local file.
  • Local File - The file exists on the local disk but is not checked into the 3DEXPERIENCE server.
  • Latest Iteration - The local iteration and the iteration on the 3DEXPERIENCE server match.
  • No Local Copy - The file exists on the 3DEXPERIENCE server but there is no local copy.
New Iter.File revision and iteration to be assigned upon check in. The text is bolded for new iterations.

A new iteration is not created if the file has not been locally modified.

A new revision is only created if the Inc. Rev. check box for the file is checked.

Checked Out ByUser who has the file checked out, or blank if not checked out. You can only check in files that you have checked out.
Checked Out InComputer and local folder where the file is checked out, or blank if not checked out.
Referenced as

Specifies how a parent file references a child file: full path, relative path, or file name only.

The server looks for references without full path names in the location specified for the parent.

Note: References reported as outside of 3DEXPERIENCE are not added to the server when you check in the parent file. Place the referenced file in the same folder as the parent file or place it in a 3DEXPERIENCE folder and update the parent file to reference the file using a fixed path.

Object Type

A mapping of the type used in the CAD tool to the ENOVIA type.

During first time check-in, you can select the Object Type or use the default entry. The default is the first type in the list of types in the CGO attribute, MCADInteg-BusTypeMapping. The administrator sets all the Object Type selections in X-CAD Design Management in the in MCADInteg-BusTypeMapping attribute. If your administrator only has only a single entry in the list of types, you can only use the default.

After the first check-in, the Object Type selection is unavailable.

Found in Folder containing the file.
StateLife Cycle state of the file, for example, In Work, Frozen.

File List - Content View Mode

These are the standard columns available in the Content view when all the columns display. You can customize the column display and add more information to the Properties column.

File

Displays

  • Thumbnails of the selected files and files referenced by them.
  • File names of the selected files and files reference by them. For assemblies, the list can include drawings, parts, sub-assemblies, and SOLIDWORKS simulation files.
    Note: The software includes the related drawings when they are in the same folder as the part or assembly they are referencing.
  • Checked Out By - User who has the file checked out, or blank if not checked out.
  • State - Life Cycle state of the file, for example, In Work or Frozen.

Result

OptionsIncludes check boxes for:
  • Check In - Lets you select files for check-in.
  • Keep Checked - Out - Created a new database iteration, but file remains checked out.
  • Inc Revision - Increments the revision level of the file.
  • Remove Local Copy - Removes file from local disk after check-in. The system only allows selection of a Remove Local Copy check box when:
    • You are checking in the file.
    • You are also selecting to remove the local copy of the referencing file.

PathsDisplays:
  • Location path to the folder containing the file.
  • Checked Out In - Computer and local folder where the file is checked out, or blank if not checked out.
  • Referenced as - Specifies how a parent file references a child file: full path, relative path, or file name only.

Properties Provides the Object Type, which is a mapping of the type used in the CAD tool to the 3DEXPERIENCE type on the server. This column also contains the Properties you select from the Choose Properties dialog box.

Menu Options

Right-click in the file list to access these menu options:

ColumnsLets you add or remove columns.
ViewHas these menu options:
  • Details - Changes the view mode to Details.
  • Content - Changes the view mode to Content.
Select AllSelects all files, so that you can select or clear the Get check boxes.
Select FilesLets you use wildcards to select a group of files. You can then use a single keystroke to select or clear the check boxes for the selected files.
Show Tree LinesToggles the display of lines that emphasize the relationship of files in the File Name tree structure. This option is only available in the Details view mode.
Check In All FilesSelects or clears all Check In check boxes.
Keep All Files Checked OutSelects or clears all Keep Checked Out check boxes.
Increase Revision on All FilesSelects or clears all Inc. Rev. check boxes.
Remove All Local CopiesSelects or clears all check boxes in the Remove Local Copy column.
Open File ListOpens a list of the files in Microsoft Excel.
Save File ListLets you save the file list as a comma-separated .txt file.
