Sharing Data in Asynchronous Mode

You can share data with a group by the system. Accessing shared briefcases can be monitored.

Create and Activate a Workspace in the Navigation window

You can create or activate a workspace.

  1. In the top bar, select Add > Content.
    The New Content dialog box appears.
  2. Select Collaborative Design Workspace.

    The Collaborative Design Workspace dialog box opens.

    Warning: If you are not logged in the PLMChat when selecting the Collaborative Design Workspace, a message appears asking you if you want to connect.
    • Click OK, to connect you and log you in. The Collaborative Design Workspace dialog box reappears.
    • Click Cancel, not to be connected.
  3. Type at least the name of your Collab Workspace in the Name field of the Collaborative Design Workspace dialog box to find it from the database.
    Warning: The Name field is mandatory. If you do not name your workspace, an error message appears.
  4. Click OK when satisfied. The workspace is created in the system and the Active Workspace? dialog box appears asking you if you want to activate the newly created Workspace.
  5. Click Yes to activate your Collab Workspace or No not to activate your Collab Workspace. Your Collab Workspace is activated and a new section appears in your PLMWorkspace corresponding to the active Collab Workspace you are in.
    Tip: You automatically become the administrator of the workspace you create. Therefore, only you decide who can have access to the data contained in the workspace.

Activate/Join your Workspace in the Navigation window

You can activate or join your workspace.

  1. Use the Search command to search for the workspace you want to activate.
  2. Select Collab Design Workspace reference in the Object box.
  3. Type in the name of the workspace you want to activate.
  4. Click OK to validate.
    The list of the workspaces corresponding to your search is displayed.
  5. Right-click the Collab Workspace you want to activate and select Set Workspace as Active.

    Your Collab Workspace is activated and a new section appears in your PLMWorkspace corresponding to the active Collab Workspace you are in.

    Tips:
    • The PLMWorkplace shows the activate Collab Workspace. To change the workspace you are logged in, activate another Collab Workspace.
    • If a Collab Workspace is already activated, when joining a new Collab Workspace, you automatically leave the earlier Collab Workspace.
    Warning: A nonmember user cannot activate the workspace.

Delete a Workspace in the Navigation window

You can delete a workspace.

  1. Use the Search command to search for the workspace you want to delete.
  2. Select Collab Design Workspace reference in the Object box.
  3. Type in the name of the workspace you want to delete.
  4. Click OK to validate.
    The list of the workspaces corresponding to your search is displayed.
  5. Right-click the Collab Workspace you want to delete.

    The context menu opens.

  6. Select the Delete option.
    A dialog box is displayed.
  7. A message is displayed to inform the user of the operation result.

    Note: In some cases, an error message appears.

    • If the workspace being deleted is activated in session, it cannot be deleted.

      The user needs to Leave the Workspace and try the Delete operation again.

    • Only the administrator can delete the Workspace.

    Warning: Once deleted, the workspace is not retrievable. All the briefcases under this workspace are also removed and irretrievable.

Explore your Briefcases in the Navigation window

You can explore your briefcases.

  1. Use the Search command to search for the workspace you want to explore.
  2. Select Collab Design Workspace reference in the Object box.
  3. Type in the name of the Collab Workspace you want to explore.
  4. Click OK to validate.
    The list of the workspaces corresponding to your search is displayed.
  5. Right-click the workspace you want to explore and select Explore.
    You enter your Workspace.

  6. Expand the tree on your left. The list of the briefcases sent appears in the tree. The briefcases are represented on a 3D Turn Table. Notice that all the briefcases shown are the ones belonging to the logged-in user. However the workspace administrator can see the briefcases belonging to all the users in their workspace.

    Note: Use the context menu to filter the briefcases you want to see. To do so, choose between Pending Briefcases, Opened Briefcases, or All Briefcases. By default, all briefcases are shown. To know which filter is applied, the "Now Showing" sentence is displayed in the context menu.

    If the user has no pending or opened briefcases, a message is displayed to inform the user.

    Warning: A nonmember user cannot explore the workspace.

    1. Select a briefcase.
    2. Click from of the compass.
      The properties of the briefcase appear next to the selected briefcase.

  7. Right-click the briefcase belonging to you, to explore it. A context menu opens.
  8. Right-click the briefcase belonging to you, to explore it and select Post Briefcase to post the briefcase of your choice.
    The briefcase is posted in the HUD of the user who has sent the briefcase. You have now access to the Merge Assistant, Merge, and Preview tools.
    Important: You need to be in the Authoring window to be able to manage the data contained in your posted briefcase.

Remove your Briefcases in the Navigation window

You can remove your briefcases.

Right-click the briefcase you want to delete and select Remove Briefcase to remove it.
Important: The workspace administrator can remove any briefcase belonging to them and to the other members of the workspace.

Interact with the Members in the Authoring window

You can interact with the members.

  1. Right-click the Collab Workspace node from the PLMWorkspace and select the option of your choice.
    Important:
    • When joining a Collab Workspace, all the actions made activate the Asynchronous Collaboration Mode.
    • Only the Collab Workspace you are logged in is shown by the PLMWorkspace. To change the workspace, start a new search.
  2. Click OK when satisfied.

Send Data in the Workspace To the Group

You can send data to the group.

  1. Make sure that your Collab Workspace is active.
  2. In the PLMWorkspace, right-click the Collab Workspace name and select Collaborate with all members.
    A generic tab appears in the chat window. When selecting this window, you can Sending Data to all the members of your Collab Workspace.
  3. Select all the features you want to share.
  4. Click Design Share.
  5. Click to validate.
    A briefcase for all the members of the Workspace is created in your Collab Workspace. A new line in the chat window of the members of your Collab Workspace appears indicating that they "Receiving and Merging Data" (creation of briefcases) from you.

Send Data in the Workspace To a Specific Member

You can send data to a specific member.

  1. Make sure that your Collab Workspace is active.
  2. In the PLMWorkspace, right-click the name of the member with whom you want to collaborate and select Collaborate.
    The HUD and the chat window open and a tab with the selected member appears.
  3. Select the tab of member with whom you want to collaborate. You can Sending Data to the member you selected.
  4. Click Design Share.
  5. Click to validate.
    A briefcase is created for the member of the Workspace with whom you want to collaborate in your Collab Workspace.
    Warning: When using the Send to User command to send data to the group as well as to a specific person in the workspace, a persistent briefcase is created in the system.
