Members Page for a Route

The Members page lists all members of the route or route template and their assigned access levels.

User groups replace the ability to add groups, access roles, or member lists. Any existing route or route template that uses groups, access roles, or member lists can continue to be used, but new routes or route templates only allow people or user groups as members.

Required access roles: If you have access to the route, you have access to this page. The access assigned to you for the route determines what actions you can take.

To access this page:

  1. Open the required route or route template. See Opening a Route or Opening a Route Template.
  2. In the navigation pane, click Access.

Columns

These people and user groups can access the route and can be assigned tasks. If the check box next to a member's name is dimmed, the member's task has already been created. People who have temporary access to the route because a task assignee delegated the task to them are not listed. The Bookmark Root owner can also view routes, if they are a route member.

Groups can also be assigned tasks, and the group members access the route.

Column Name Description
Collaborative Space/User The name of the person or user group added to the route. For a person, you can click to view their Properties page.
Organization The organization the person belongs to. This is blank for user groups.
Type Distinguishes between people added individually, user groups, and credentials (for collaborative spaces).
Route Access Shows the access that each member has for the route. For a description of each access level, see Route Members and Access. When viewing the members for a route template, the Access column is not included.
Comments Only shows a value if the row is a collaborative space. Shows "Primary" for the collaborative space used for objects related to the route.

Actions/Toolbar Commands

For route templates, these actions are only available for inactive route templates. To make any changes to an active template, create a new revision. For more information, see Route Template Properties.

You must have Add access to the route or route template to add people or user groups.

Add People Adds individuals to the route. A task is added to the route for each person.

If the route includes a task that has not been assigned to any person or user group, the selected person is assigned that task instead of creating a new task for that person.

Add User Group Adds user groups to the route. A task is added to the route for each user group. Predefined Queries
Remove Selected Removes the selected member from the route; click OK to confirm.

If the route has started, you cannot use this page to remove a member. Either remove or reassign all tasks assigned to the member. When no tasks are assigned to a member, that person is automatically removed from the route. You cannot remove active tasks (current order number), but you can remove pending tasks (higher-order number).

Enable Edit / Disable Edit Edits the access permissions. For a route template, only shows for inactive templates. --
When adding members to the route, the search results are filtered automatically based in the route's scope. If the scope for the route is a Bookmark Root, only people and user groups within that Bookmark Root are listed on the search results page. If the route's scope is Organization, only members of the specified organization are listed.
